In order to ensure a successful production, we have found it helpful to list the responsibilities of those involved. We have developed the following set of guidelines and need to collect the information listed below.

1. Please be aware that with the often-changing current events, we may well find as we rehearse that some of these rules do not apply at all or need to be adapted to our 2021 summer reality. In the end, this is an agreement that we are all on the same side with the same goals—productive rehearsal time, a rewarding and safe experience, and a performance we can be proud of. *

2. We will rehearse in-person outdoors maintaining social distance and a wearing face covering over the nose and mouth except as is listed here. Current CDPH Guidelines allow singing outside 6 ft. apart without a face covering. We plan to rehearse and perform in this manner. Some rehearsals will be held inside with all cast members will be required to wear a face covering while rehearsing with 6 ft. social distance being maintained. Production Staff will wear a face covering at all times.  (Zoom rehearsals will be scheduled if needed.) *

3. We will adhere to city, county, state, and federal health guidelines and as they evolve over the next two months, we may institute new rules or procedures accordingly. Please read over the Young Artists Ensemble’s Les Misérables Safety during the Coronavirus Pandemic. *

4. All participants are expected to attend all rehearsals for which they are scheduled, as well as all filmings. The exception that is especially vital during this time – if you are ill, please do not attend in-person rehearsals and only attend virtual rehearsals as your health permits *

5. All members of the orchestra, cast, crew, and production team are expected to adhere to social distancing decorum and be conscientious of the risk they may pose to others. We acknowledge that the COVID-19 virus can be present and contagious in an individual who is asymptomatic, and we must therefore behave as if we may be a carrier at any time. We also acknowledge that an individual’s health risk, and the risk levels of those in their home are private matters, and we must therefore behave as if everyone we interact with could have heightened risk factors of serious health complications from exposure to this virus. At each check in for in-person rehearsals or filming, we will verbally conduct a health screening check list and take the participants temperature with a touchless, infrared thermometer. This will be done for all staff as well. Anyone, participants, or staff, with a temperature of 100.4 F or higher will not be allowed to participate and will be asked to go home and seek medical attention. They will not be allowed to return without a note from the Doctor. If any cast or staff become ill or exhibit symptoms of coronavirus infection, they will be immediately isolated, and a parent will be asked to immediately transport them for medical attention. Any staff or cast that have been directly exposed to the individual will be asked to leave and isolate at home for at least 14 days. These procedures are listed in the Young Artists Ensemble’s Les Misérables Safety during the Coronavirus Pandemic. *

6. Rehearsal and Performance Locations: Rehearsals will take place outside and inside the Hillcrest Center for the Arts, 403 W hillcrest Drive, Thousand Oaks, CA 91360 and outside and inside the Thousand Oaks High School Performing Arts Center, 2323 N. Moorpark Road, Thousand Oaks, CA 91360.

7. Performance Concept: CDPH Guidelines for Outdoor Performance allow performers to sing, dance and act on an outdoor stage without the use of a face covering provided all performances are blocked/choreographed to be always at 6 ft. apart. The stage will be positioned 12 ft. in front of the first row of audience members. All audience members must wear a mask at all times except when actively eating or drinking in the designated seating box. Reserved lawn chair seating boxes will be sold for 1 to 4 people in a socially distanced box. Audience members must bring their own lawn chairs and each box must attest that there are 3 or less households and the everyone in the box is a California Resident. Understanding this situation, each participant and parent agrees to this performance concert and understand that even with all COVID-19 Safety precautions, it is still possible to contract COVID-19 from an individual not exhibiting symptoms. Parents and cast agree to the hold harmless the Conejo Recreation & Park District and its cooperation agencies, the Arts Council of the Conejo Valley, and the Conejo Valley Unified School District for any and all liability should a participant become infected with COVID-19 while participating in Les Misérables, School Edition.

8. Rehearsals will run on schedule and participants should be picked up on time. *

9. Major conflicts with the rehearsal schedule are not acceptable. While it is our goal to create a positive experience for everyone, major conflicts impact the entire orchestra. As a last resort, it may be necessary to recast your part or drop you from the production. *

10. MISSED REHEARSALS ARE NOT ACCEPTABLE unless approved in advance. If you have an important doctor’s appointment, etc., you must notify the staff well in advance of the appointment by completing a Request to Miss Rehearsal Form. Give these forms to the Conductor, Susan Treworgy-Calkins. You can also e-mail Susan at condctr1@yahoo.com. If you are suddenly ill, call Susan at: 805-381-2747 and ask to be transferred to her cell phone. *

11. Beginning July 17, 2021, NO REHEARSALS OR PERFORMANCES CAN BE MISSED. All rehearsals from this date are full run-throughs, dress/tech rehearsals, or performances. *

12. Music and a pencil must be brought to all rehearsals. *

13. The Young Artists Ensemble maintains a strict NO SMOKING policy. In keeping with health precautions against secondary smoke, no participant, employee, or volunteer may smoke during the time that they are participating in this program. *

14. No Participant, volunteer, or staff may participate in any rehearsal or performance under the influence of drugs or alcohol. Anyone under the influence will be removed from the program. *

15. The directors and staff cannot provide transportation. During this unique time, we do not encourage carpooling. *

16. Participants are expected to have respect for the facilities in which they rehearse and perform. Outdoor facilities include grounds, planters, outdoor seating, and trash receptacles. *

17. Participants are expected to treat each other, the production staff, and volunteers with respect and courtesy. *

18. Participants without their own transportation must be picked up at the ending time of each rehearsal and no later than 1/2 hour after the conclusion of each performance. THERE WILL BE NO GUARANTEED STAFF SUPERVISION BEFORE OR AFTER REHEARSALS OR PERFORMANCES. *

19. Participants are expected to show respect for the production staff and for the authors. THERE CAN BE NO UNAUTHORIZED ALTERATIONS TO THE TEXT AS REHEARSED, OR PERFORMANCE AD-LIBS. *

20. The participant and at least one parent of each participant (if participant is uner18) must attend a meeting 6:00 to 8:00pm on Thursday, May 27, 2021, via Zoom. Participant/parent responsibilities and volunteer needs will be discussed at this meeting. *

21. Performances. We plan to present 5 performances of Les Misérables School Edition in front of a live audience. Tickets will go on sale June 21, 2021. Performances will adhere to CA Safety Guidelines. *

25. There is no Participation Fee or Music Deposit for Orchestra Members. However, all music must be turned in to Susan after the final performance. *

26. While a cast party may not be able to take place in a traditional sense, we will find a way to celebrate our accomplishment! *

In consideration for being permitted by the Arts Council of the Conejo Valley and its cooperating agencies (the Conejo Recreation & Park District, the City of Thousand Oaks as facility owner, and the Conejo Valley Unified School District as property owners of the Thousand Oaks High School Performing Arts Center), to participate in the Young Artists Ensemble production of Les Misérables School Edition, I hereby waive, release, and discharge any and all claims for damages for personal injury, death, or property damage which I may have, or which may hereafter accrue to me, as a result of participation in said activities. This release is intended to discharge in advance the Arts Council of the Conejo Valley and its cooperating agencies (the Conejo Recreation & Park District, the City of Thousand Oaks as facility owner, and the Conejo Valley Unified School District as property owners of the Thousand Oaks High School Performing Arts Center) (including their officers, employees, volunteers, and agents) from any and all liability arising out of or connected in any way with my participation in said activities, even though that liability may arise out of active or passive negligence or carelessness on the part of the persons or entitles mentioned above. It is understood that these activities involve an element of risk and danger of accidents and knowing those risks I hereby assume those risks. It is further agreed that this waiver, release, and assumption of risk is to be binding on my heirs and assigns. I agree to indemnify and to hold the above person or entities free and harmless from any loss, liability, damage, cost, or expense which they may incur as the result of my death or any injury or property damage that I may sustain while participating in said activities.Additionally, I fully understand that my participation in the above-referenced activities exposes me to the risk of personal injury, death, communicable diseases, illnesses, viruses, and/or property damage.
