Welcome to Countywide Youth Theatre Production! 
We are excited you have chosen to be a part of Schoolhouse Rock, Jr.

Mandatory Parent Meeting - There is a mandatory meeting for both new and alumni parents and students for about 15 minutes starting at the beginning audition time.    This mandatory pre-audition meeting will answer your most frequently asked questions and give you more information on what to expect in a production. We recognize that auditioning for the first time can be overwhelming and we want to take the anxiety out of the process by addressing your questions early. Our veteran parent volunteers will be available to answer any and all questions.  

Below is the Audition Packet.  Please fill out the audition packet and have it completed before you come to audition. You will be sent a copy of your answers by email so please print this out at home.  If you can't print it out, email Crissi and she will print it for you.  In preparation, pull out your calendar and Zelle link for payments.  25-40 hours minimum of parent participation is required.  Buy Outs (Volunteering Pay Out) are available for $150 additional per family.

What to Expect and how to prepare for the audition:

• Your audition session will last 3 hours.  Students will be expected to stay the whole time.

• Being nervous is normal.  Do your best and it's ok to make mistakes.  What's important is that you keep going with a smile on your face!

• Prep a song of your choice.  It is required that you bring an bluetooth accompaniment track for the song with which they will audition.  You can bring cell phones but we won’t have wifi available.  You will be auditioning the song alone,  in front of the directors.

• Performers will audition in a group dance in which they will learn a small dance combination.  

• Wear comfortable clothes and closed-toed mandatory shoes, as you will be taught a short dance routine during auditions.  Also bring bottled water with their name on it.

• Callbacks are by invitation only and will include reading sides (short scenes from the play) with others and possibly a short dance for those called back for a dance role. No memorization is required.  Your directors will send a packet of materials for the character they want you to try out for.

• When you receive your role, remember that you are not just doing this for fun but for the glory of God.  Be content with the role you have and we promise, you will have one of the most memorable times of your life!

AUDITION CHECKLIST

➢  Parents:  Bring a snack for your children, they will be there for 3 hours!  

➢  Parents:  Come early for your audition time so that your children will stay relaxed for their audition.  Complete this AUDITION PACKET below.

➢  Parents:  Applications & Finances are due before or at the time of audition.  Bring at least 7 checks if you choose to pay during the audition time.  You can also pay through Zelle, Paypal or Venmo - depending on the director and what they have available for payments.

➢  Parents:  Review the CONFLICT CALENDAR for the show you are auditioning for.  Add in any and all rehearsals you cannot attend.  Directors and producers frown on last-minute conflicts and might re-think the roles your children receive.

➢  Parents:  Have your calendar ready to choose which dates that DO NOT work for you.  Once everyone has registered, we will create a supervision schedule.  You will be volunteering 4.5 day during rehearsals and 6 hours per day during tech week.  

*Returning YTP Families, For faster registration, come with your audition packet printed out and completed and hand it to Crissi. If you want a scholarship, please meet with for a couple of minutes. For new families, we are required to meet together since you are new to this whole process and will most likely have questions for Crissi.

**We understand the financial hardship families are facing in this economy therefore, all scholarships are on a case-by-case basis. We only give work scholarships. No scholarship will be given on the material fee.

I have listed every rehearsal I will miss during the rehearsal period.  I understand that any absences from a scheduled rehearsal, including the rehearsal I have listed above, can result in my exclusion from portions of the show.  That includes absences due to illness, as well as other commitments.  I understand that this is not offered as a punishment.  With a very complicated production, each rehearsal must progress (regardless of my absence) to result in a great show.  There will be no time to “save a place” for anyone.  I understand that missing a performance is not permitted.  Availability is considered in casting leads.  In cases of sickness on performance days, leads must be available for all performances.

Dear Parents, Guardians, and Students:  Please read the following and sign below to indicate you understand and agree with the following:

Behavior Expectations for Students

o    I will honor my commitment to Countywide Youth Theater Production

o    I understand that mature behavior, positive attitude and teamwork are mandatory during CYTP rehearsals and shows. I will be respectful to all the adults and fellow cast members. I will make every effort to compliment and support my fellow cast and backstage members.

o    I will make the commitment to prepare and memorize BEFORE rehearsals.

o    HEART Academy rules apply while at the rehearsal locations and I must remain in locations as directed by the Heart & CYTP parents and always ask an adult for permission to go somewhere else in the building.

o    If my behavior is such that it is disruptive and not seen as in the best interest of CYTP or Heart Academy, I may be asked to leave the group.

o    I will honor a Friendship Culture at  CYTP   and therefore, refrain from showing romantic expression to whom I am “crushing” on.  I understand that governing myself in this way shows that I am valuing others and not just looking at my own interest but the interests of others.  Phil 2:3

o    I will dress modestly when I am in community during rehearsals and shows.  1 Cor 6:19-20

o    I agree that God created male and female genders.  I identify with the one I was born with.  Gen 1:26-27

o    I will agree to keep the peace between myself and other people.  Therefore, I am open and teachable to coaching.  1 Cor 6:1-8

o    I will talk to the directors or coordinators if something is happening that is keeping me from having an enjoyable, rewarding theater experience.

Rehearsals and Attendance for Students

o    I will do my best to make it to every rehearsal or meeting where I am needed.  I have checked for any conflicts with scheduling before signing the contract.  If I have more than 5 conflicts, I understand that it might keep me from getting lead roles.  If I have more than 7 conflicts, it may be necessary to re-evaluate my priorities.  CYTP reserves the right to waive conflicts as special cases arise.

o    I understand that extended or additional rehearsals on Saturdays and tech week may be necessary and am willing to adjust my schedule to make it to these rehearsals.

o    I am responsible for making transportation arrangements ahead of time. 

o    I understand that extra bodies create extra noise, therefore, I will not bring any of my friends to rehearsal. 

o    It is my responsibility to notify the administrator/producer of HEART Academy (Crissi Allen 408-712-4646 or heartacademysj@gmail.com,  or Director Sandi Gonzalez 510-207-3579) if I am not unable to attend a regularly scheduled rehearsal or meeting due to sickness or other emergency.

Parent/Guardian Volunteerism Expectations: IMPORTANT!!

o    I will check the rehearsal or meeting schedule and will be on time to pick up my child after rehearsals.  I understand that the volunteers cannot leave until my child is picked up.

o    I understand that the CYTP operates through the efforts of parent volunteers therefore, volunteer jobs are an important part of YTP.

o    I understand parents are expected to coordinate or help with a production committee or by volunteering at several regular rehearsals or meetings. Commitment will be about 40+ hours before, during and after the production.  Set pieces will need to be returned to theaters and we’ll need help with large pieces therefore, dads or very strong boys are required to help out 2-5 hours during move in or strike.

o    I understand that all parents are also expected to volunteer with at least three dress rehearsals and 3 performances.  This means tech week, you might be called to help out 4-6 days or more out of that week.

o    I understand that parents are responsible for their child’s costume(s).

o    I understand that CYTP reserves the right to choose other students that have not auditioned for the show. This is not a common practice; but sometimes, a certain role may call for an older or younger individual.

o    WITHDRAWING FROM A PRODUCTION AND REFUNDS:  If you withdraw from a production for any reason after the cast list is posted, no refund is given. If you withdraw from a production, you will not be allowed to audition for the next production you are eligible for unless excused by the Producers or Artistic Directors for extenuating circumstances. It is the performer’s responsibility to inform YTP of your circumstance within one week of withdrawing from a production in order to be cleared for the next audition.

We have read and understand the Youth Theater Project contract requirements and are willing to make the commitment to this program by adhering to the above requirements.

Note:  $75 HEART Academy Upper Academy classes meet 32 hours in a year and cost $675.  This production class will meet 80+ hours and will normally cost you $1793.  We have discounted this class $1543.   Work Scholarships are considered on a case-by-case basis.  Please email Crissi at heartacademysj@gmail.com if you would like 50% off your tuition.

Work Scholarships are available at 50% off one child’s tuition:  Costume Coordinator – Set Manager – Lead Supervisor – House Manager.

Volunteer Availability

The volunteer commitment totals 20-40 hours within the season depending upon the amount of families available.  A schedule will be created once we have everyone registered.  You will be helping to watch the kids during rehearsals.  Rehearsal Times are from 9:30am to 2:00 pm every Wednesday and Thursday starting June 7.
