2023 Pride Festival Vendor Registration
2023 PRIDE PARADE + FESTIVAL 

WHEN: Saturday June 3, 2023 on Summers Street at Slack Plaza in Charleston. 
Set Up is between 10:00am and 11:00am. Tear down BEGINS at 5:30pm.

VENDOR SET UP: Within the week prior to the June 3rd Festival you will be emailed a vendor map and set up instructions. Some VIP vendor spaces are assigned/reserved as available through our various Sponsorship Program levels as well.

COST: $80 for-profit businesses / $40 non-profit groups
Each space is 10' x 10' --- Multiple spaces may be purchased.
PAYMENT MUST BE RECEIVED BY May 27, 2023.

INSURANCE:
As Rainbow Pride of WV carries required insurance and licenses as the reserving host organization, the City of Charleston and/or our insurance provider requires the following:

Vendor Requirements:
- All Non Profits must provide Non Profit status paperwork at the June 3rd Festival.
- All For Profit group/individual selling items must provide City of Charleston Business License at the June 3rd Festival. Contact the City Collector's Office at (304) 348-8024.

- All Vendors (Non Profit and For Profit, Sales or Informational) must provide proof of General Event Insurance.
General Event Insurance needs to be at least $1,000,000 coverage. In most instances your current insurance provider may have you covered.

**For the Festival date the additional insured should be: Rainbow Pride of WV, Inc. AND City of Charleston, WV

The certificate of Insurance is required to be emailed or mailed to us by May 20, 2023

All food vendors must submit a list of proposed menu items. It is your responsibility to obtain all permits required to sell food items at the Festival and to produce said permits upon request. Please contact the Kanawha-Charleston Health Department at (304)344-5343.

Rainbow Pride of West Virginia reserves the right to determine which vendors and informational exhibitors may or may not be appropriate for the Pride Festival Block Party. Vendors agree to display ONLY items that are not vulgar, offensive, obscene or inappropriate for a "family-friendly" all ages event. Vendors must abide by City Code: Ordinance No. 6006, SS 6-49-9, 2-21-1995, Section A (8).

Registration forms may be submitted electronically or by US Mail (see below). Booth location will be assigned by Rainbow Pride of WV. Vendors may not share or sublet space without prior approval. Any vendor registered prior to May13th will receive first consideration for booth assignment. Vendors must provide their own insurance and are responsible for the conduct of all individuals working their booth; for materials, merchandise and equipment used at their site; and for damage to their site or other property.

Set up time is 10:00am to 11:00am. On Summers Street at Slack Plaza. All sites must be torn down, cleaned and all materials loaded no later than 8:00pm. All vendors/exhibitors agree to remain at the festival location until 5:30pm.  No vehicles may access the vendor area between 11:00am and 7:00pm as festival goers will be in the street.

Vendors/exhibitors release Rainbow Pride of West Virginia, its membership and officers and the City of Charleston, its Parks and Recreation Department and its Agents from any and all liability for damages, loss, injury or consequence to persons or property. The vendor/exhibitor further agrees to indemnify and hold harmless the above-mentioned parties against any and all claims resulting from any and all connections with the use of the festival site, and adjacent grounds associated with the festival.
