Vendor Application 2025
We are very excited to announce that plans are underway for Galena’s 5th Annual Pride Picnic in Grant Park on June 14th, 2025 from Noon-5pm! The event will be organized and run solely by volunteers and the Galena Public Library District, a local non-profit organization.

By submitting this Vendor Application, you (hereafter referred to as "Vendor") agree to comply with the following. Please check all the boxes.

The Vendor registration fee is $30 ($10 non-profit) per booth space and must be paid in full by May 1, 2025. All fees, licenses, and applications must be submitted by that date. Late applications, licenses, and/or fees will not be accepted.
If accepted, Vendor will be notified by May 8, 2025. If not accepted, fees will be returned to Vendor.
Booth assignments are allocated by the committee. Location requests are not guaranteed.
Tents, tables, and chairs will not be provided.
Event will be held rain or shine. Covered booths are encouraged in case of rain or bright sun.
Vendor check-in will begin at 9:30 am. Vendors must be open from noon to 5pm, unless otherwise discussed with the Galena Public Library. Late arrivals must contact an event coordinator. Vendor registration fee will not be refunded to late arrivals or no shows.
Only one business/organization per booth space, unless prior authorization has been granted by the Galena Public Library.
All fees paid by Vendor are non-refundable.
Vendor booth space is 10'x10'. No stakes larger than 6 inches may be used.
No displays over 8' in height or extending beyond booth space are permitted.
Vendors are required to properly clean their booth area. If Vendor booth area has any debris remaining after the conclusion of the Picnic, Galena Public Library will impose a clean-up fee of $50.00 at the time of checkout which will be payable immediately.
Vendors must dispose of all trash in the dumpster located behind the pavilion. No trash shall be left on the ground or near trash cans inside the park.
It is the Vendor's responsibility to pay the appropriate taxes and fees to the State of Illinois Department of Revenue. Galena Public Library assumes no responsibility whatsoever for collection or remitting of taxes and/or fees of any kind that may be due from any Vendor.
It is the Vendor's responsibility to submit any necessary permits and licenses from the City of Galena and the Jo Daviess County Health Department. These forms and fees should be submitted to the Galena Public Library. Until these forms and fees are received, the Vendor application will not be considered.
Vendor is not guaranteed exclusive rights, however, we may attempt to limit the number of Vendors with the same/similar products.
Electricity may be requested via this Vendor Application, however, it will be first come, first serve.
Food trucks are asked to provide their own generator for electricity. It will not be possible to run electricity to the food truck area.
Vendor acknowledges that photographs or video/audio recordings of the Picnic may be made by or on behalf of the Galena Public Library and hereby agrees to the use thereof by the Galena Public Library for archival and promotional purposes.
Vendor is fully responsible for any loss or damage to his or her property by theft, fire, or casualty. Galena Public Library expressly disclaims any responsibility for the same. Each vendor is responsible for the conduct of their representatives and must not detract from the image or welfare of the Pride Picnic or the Galena Public Library.

Self Guided Photo Op Tour

We will be providing Photo Op Passports to guests as they arrive in the park.
Vendors are encouraged to create a photo op as a part of their booth space.
This could be a backdrop or setting, a person in costume, something interactive, etc.
Having a photo op at your booth will encourage guests to visit your booth, walk around the entire picnic, and make social media posts. The last stop on the passport will the be library's table, where guests will show their completed passport and redeem a prize.
Photo ops must be within the confines of the of the 10x10 booth space. Activities must be allowable within Grant Park. Please reach out to us if you have any questions.
