Our primary focus is to improve the quality of life for all of the children and their families we serve.  Consistent attendance is necessary to maximize progress.
Cancellation Policy: If for any reason your child will be unable to make his/her scheduled appointment, please call during business hours (817-386-5500) or email the office (office@cowtownpediatrixclinic.com) 48 HOURS before the appointment in order to avoid a LATE cancellation fee of $150/hour for OT and $75/30 min Speech.  Please note we CANNOT bill insurance for a missed appointment, therefore payment is the client's responsibility.  We understand that sudden illness or emergencies arise, please call or email us as soon as you know your child will be unable to make their session due to illness.  NO SHOW's: If you do not communicate with Cowtown prior to your child's session, as per our policy above, and do not show for the scheduled appointment, Cowtown will collect a fee of $175 for OT and $100 for Speech on the original date for services scheduled. If your child received BOTH services, BOTH charges will be collected. You will NOT incur a charge for late cancellations or no shows if you reschedule your child's missed appointment AND complete the appointment.

Who to notify for ANY changes to your child's scheduled therapy sessions:  
All scheduling changes should be communicated to our office, as described above.  Please, do not text, call, or email your therapist about any scheduling issues/changes. Therapists are busy treating children and are not be able to communicate your information to our scheduling staff in a timely manner. If we treat your child at an outside facility (ie: daycare, ABA clinic) you must call/email Cowtown to notify us of your child's absence from the facility. The facilities we treat at do not communicate with us to let us know if your child is absent or if they have gone home ill for the day. Thank you for your cooperation!
After 2 No Shows, or after 3 cancellations in a 3 month period, your child will be taken off their regularly scheduled appointment time and be placed on our flex scheduling list. Sessions begin promptly at the scheduled time.  If the child is late for the session, the session will still finish at the scheduled time. This policy is in place out of respect for our therapists and clients.  By giving last minute notice or no notice, it prevents someone else from being able to schedule into that time slot. If you are consistently needing to reschedule your child's appointments, call us and we will help you find a better schedule to meet your needs.
