CANCELLATIONS BY UNTRAVELLED TOURS: Should the Journey or the Add-On Trip be cancelled by Untravelled Tours, Untravelled Tours will refund all money paid.

REGISTRANT CANCELLATIONS AND REFUNDS: Deposit is nonrefundable. For the refundable portion of Journey and Add-On Trip fees (amount paid exceeding the deposit), refunds will be based on the date written notice of cancellation is received as follows:
• Up to and including June 17, 2021: 75% refundable
• Between June 18, 2021 and July 17, 2021: 50% refundable
• After July 17, 2021: all Journey and Add-On Trip fees paid become nonrefundable

TRAVEL INSURANCE: We require you to take out trip cancellation/interruption travel insurance.

CREDIT CARD PAYMENT VIA PAYPAL: Untravelled Tours accepts American Express, MasterCard, VISA and Discover and processes all credit card charges via PayPal.

COST FLUCTUATIONS: All prices are listed in US dollars. Journey and Add-On Trip prices are as listed unless the US Dollar to Euro exchange rate fluctuates by 5% or more from the February 1, 2021 rates (1 EUR = 1.21 USD), or gasoline/diesel goes up over 5% from the February 2021 France prices (1,43 EUR/liter gas; 1,34 EUR/liter diesel). If required, a fuel or exchange-rate surcharge will be added to the final payment.

LOW ENROLLMENT: The advertised costs for the Journey and Add-On Trip are based on an established minimum level of participation. Should the group for either the Journey or the Add-On Trip fall below these numbers, Untravelled Tours will give each traveler the option of paying a surcharge or refund all money paid. Untravelled Tours makes every effort not to enact a surcharge, but if we do, we keep it as small as possible. If it’s deemed that a surcharge is necessary, you will be notified of the amount at least two months before the departure date. If you elect to pay the surcharge and thus continue with the Journey and/or Add-On Trip, the surcharge payment is due on or before August 6, 2021. Those electing to not pay the surcharge will be refunded in full any payments received. Should the Journey and/or Add-On Trip fail to achieve minimum participation or sufficient funding through payment of a surcharge, Untravelled Tours reserves the right to cancel the Journey and/or Post-Journey Add-On Trip, and Untravelled Tours will refund in full any payments received. You are again encouraged to purchase travel insurance through your airline to cover the cost of the flight/s. WE STRONGLY RECOMMEND THAT YOU CHECK IN WITH US BEFORE ACTUALLY PURCHASING YOUR AIRLINE TICKETS. Again, we remind you that Tina, our Tour Director, will be available to help you with this process.

Accommodations will be provided as per the final Journey and Add-On Trip itinerary. You are assigned accommodations as the guest of the facility selected. Untravelled Tours reserves the right to substitute accommodations of similar category. There are a limited number of rooms and configurations available. The sooner you register, the more likely it is that you will be accommodated in the main B&B where our meals and meetings will be held.

Most of the accommodations in Rennes-les-Bains will be on the 2nd and 3rd floors and there is no elevator. You must be able to climb stairs. Help with your luggage will be available.

Our accommodations are French-style, which means that room size is generally smaller than American standards and will either have one double bed, two twin beds, or one double bed and one bunk bed. All rooms will have their own bathroom.

Meals will be provided per the Journey and Add-On Trip final itinerary. Prices include only foods and beverages that are provided to the entire group.

Included as specified in itinerary. Anything listed during "personal time" is optional and those entrance fees are not included.

Flights to and/or from the Journey and/or Add-On Trip. All lunches (with the exception of 3 picnic lunches, which are included in the Journey), breakfast on September 17, and dinners other than the 6 dinners included in the Journey and 1 dinner included in the Add-On Trip, as specified in the Journey and Add-On Trip itinerary. Entrance fees to sites listed in the itinerary as available during "personal time." Covid-19 testing prior to or during the Journey and Add-On Trip. All health-related expenses. Items of a personal nature such as laundry, drinks, and telephone calls, as well as any item that is not specifically detailed in the Journey and Add-On Trip itinerary.

A valid passport must be held by each participant with expiration date at least 6 months after the end of the Journey. Written proof of Covid-19 vaccine at least one month prior to beginning of Journey and negative Covid-19 test within 3 days of beginning of Journey must also be provided.

This is a drug-free Journey and Add-On Trip, with the exception of prescription medication. Smoking of any kind, including e-cigarettes, is prohibited during our Journey and Add-On Trip meetings, events, and meals; inside the Journey and Add-On Trip hotels; in any vehicles used for transportation during the Journey and Add-On Trip; and anywhere else that is designated as smoke-free. The Journey and Add-On Trip is fragrance-free, including essential oils and perfumes or colognes, to support those with sensitivities to fragrances.

All Journey activities, accommodations, meeting spaces and meals are for registered participants only. To support the safety and privacy of all participants, and to honor the potency of the Journey, participants will restrict their activities to those described in the itinerary for the duration of the Journey, and no outside guests will be allowed in Journey activities, meeting spaces, accommodations, and meals.

As of this writing (February 2021) we will require that all participants wear a mask during all group occasions and as deemed necessary by Tina Hartzell. We will do as much as we can outdoors and will engage social distancing as much as possible. We require everyone to have the Covid-19 vaccine at least one month prior to the beginning of the Journey, and a negative Covid-19 test within 3 days of the start of the Journey,  and to provide written proof of said vaccine and test.

Listed Special Guests, local Hosts, and Guides are subject to availability and will be hosting your itinerary wherever possible. However, due to circumstances beyond our control, there may be times when the featured Special Guest, local Host, or Guide becomes unavailable. If this occurs, Untravelled Tours will provide a comparable and experienced substitute.

All participants are limited to one suitcase plus your carry-on luggage due to the limited space in the vehicles transporting everyone. In our primary Journey accommodations you will be carrying your luggage up the stairs to your 2nd or 3rd floor room, so pack lightly (help will be available as needed). Be sure to bring face masks, a swimsuit, raincoat, umbrella, comfortable walking shoes, daypack, portable hiking poles, and a power adapter suitable for electrical sockets in France for any electrical devices you’re bringing. Check the weather predictions for Rennes les Bains, France before you leave to be sure you have the appropriate clothing. Since we will be spending as much time outside as possible to help mitigate Covid-19 concerns, please also consider bringing a hat, sunscreen and anything else that will make your outdoor experience more comfortable.

Untravelled Tours and/or Tina Hartzell, Mercedes Kirkel, and/or their authorized representatives will be taking photographs, video recordings, and/or audio recordings ["Photos and Recordings"] of the activities during the Journey and Add-On Trip. If you do not wish to be included in these Photos and Recordings, please notify Tina Hartzell, Tour Director, of this and we will do our best to not include you. However, by registering for the Journey and/or Add-On Trip, you agree to grant Untravelled Tours, Tina Hartzell, Mercedes Kirkel, and their authorized representatives permission to record your image and/or voice by various mechanical, electronic, and digital means during the retreat. You further agree that any or all of the Photos and Recordings may be used, in any form, as part of any future publications, educational materials, or promotional materials by Untravelled Tours, Tina Hartzell and/or Mercedes Kirkel, and that such use shall be without payment of fees, royalties, special credit or other compensation. In signing this form, you hereby waive to the fullest extent that you may lawfully do so, any causes of action in law or equity you may have or may hereafter acquire against Untravelled Tours, Tina Hartzell, Mercedes Kirkel, and/or their agents for libel, slander, invasion of privacy, copyright or trademark violation, right of publicity, or false light arising out of or in connection with the utilization of the Photos and Recordings.

We require TRAVEL INSURANCE to protect against cancellation fees, additional travel expenses, and healthcare expenses that may be incurred before, after, or during the Journey and/or Add-On Trip.

Untravelled Tours, Tina Hartzell, and cooperating individuals and agencies, act only in capacity as agents for the participant in all matters connected with hotel accommodations, sight-seeing tours, and transportation, whether by bus, motorcar, or any other means and as agent holds itself free of responsibility for any damage occasioned by any cause. Untravelled Tours, Tina Hartzell, and/or their agents, will not be responsible for any damages or expenses or inconveniences caused by late departures or change of transportation schedule, strikes or to their conditions, nor will we be responsible for loss or damage to baggage or any of the passengers’ belongings. All prices quoted are correct at time of itinerary posting, including the cost of operation of the Journey and Add-On Trip, and are subject to currency and gasoline changes. Untravelled Tours, Tina Hartzell, and their affiliates, officers, employees, servants, and agents, shall not be responsible for personal injury, death, or property damage as a result of force majeure or for any other losses or damages incurred by any person or Journey and or Add-On Trip participants caused by any delay or change of itinerary or arising out of any act, including, but not limited to, any act of negligence, any person acting for, or on behalf of Untravelled Tours and/or Tina Hartzell, or for any damages resulting from transportation, accommodation, or sight-seeing provider or any other person or entity rendering any of these services or accommodations being offered in connection with this Journey and/or Add-On Trip. Untravelled Tours and/or Tina Hartzell will not assume any additional expenses. On advancement of deposit to Untravelled Tours, the depositor agrees to be bound by all of the above stated terms & conditions. Valid from 1/1/2021-12/31/2021.

Untravelled Tours retains the right to withdraw a Journey and/or Add-On Trip, or decline to accept any person as a member of the Journey and/or Add-On Trip, or make changes in the published itinerary whenever in sole judgment of conditions warrant or if they deem it necessary for the comfort, convenience, or safety of the participants or leaders. Untravelled Tours and/or Tina Hartzell retains the right to require a person to leave the Journey and/or Add-On Trip at participant's own expense whenever in sole judgment of conditions warrant or if they deem it necessary for the comfort, convenience, or safety of any of the participants or leaders. Untravelled Tours, Tina Hartzell, Mercedes Kirkel and their affiliates, officers, employees, servants, and agents, are not responsible for any physical or emotional reaction, trauma, or ailment, during the Journey and/or Add-On Trip or occurring after the Journey and/or Add-On Trip.
