Arts on the Fly 2020 Vendor Application
Terms and Conditions -- Please read thoroughly! This includes important information about power, fees, and what's included in your vendor package once approved (including how many festival passes are provided to vendors).

The festival is located downtown Horsefly at the Horsefly School Grounds. Retail vendors will be set up inside the field, directly across from the main-stage performance area. Food vendors will be set up in the entrance area of the festival.

Recycling and compost are available; please use them. There are no ATM machines on site; please come with a sufficient float. Alcohol is not served on site, other than in the sanctioned beer garden which stays open until 10pm. All other alcohol is to be concealed and consumed in moderation in campsites only. No glass on the festival grounds. Illegal drugs and underage drinking is strictly prohibited at our festival. Smoking is only permitted in designated areas. No animals are allowed on festival grounds except for working animals like guide dogs.

Vendor site:
No vendors permitted on the grounds until 10am, on the Friday of the festival. There are no exceptions. The market area is a mixture of grass and dirt, and the ground can be uneven; please make sure your booth is secured with pegs, and will stand up against the weather. We have a limited number of spaces that will have access to camping directly behind the space, and will be issued on a first-paid-first-served basis. All sites are clearly marked, and a map will be available. Do not set up in another vendor's spot, and stay within the marked lines. Vending booths must be totally self-sufficient -- we cannot provide electricity, wifi, or water to your booth.

Set up and tear down:
Vendors are asked to arrive on Friday morning no early than 10am to set up in good time, and avoid vehicle line-ups at the gate. You must be set up and open for business by 5pm on Friday. Your name will be listed on the pre-registration list at the gate. The marketplace coordinator will be available to assist you when you arrive at the festival grounds. Please leave your site as you found it, completely free of garbage.

Food market hours of operation:
Friday July 12, 2019, from 5pm to close
Saturday July 13, 2019, from 8am to close

Security:
Arts on the Fly is surveilled by a hired security team as well as volunteer security, but each vendor is responsible for the safety of their own goods. Most people pack up at the end of the day or have secure walls for their booth. Arts on the Fly is not responsible for lost or damaged property or goods.

Each vendor receives one (1) adult weekend pass, including festival camping for 4 staff persons and parking for one vehicle only. Food is not included. Any other people in your group must purchase a festival passes at the gate.

Deadlines:
In order to reserve a space you must apply with full payment by May 30 2020. Late applications will be put on a cancellation list. Should you decide to cancel your space, contact us by June 20 and 75% of your vending fee will be refunded. If you contact us after June 20th to cancel your space, you will not receive a refund.
