Lochearn Pool Party Request Form 
Thank you for your interest in hosting a party at the pool!  In order to hold a party at the pool, you MUST be a member in good standing without outstanding balances, and you MUST complete the party request form.  
 
Any gathering of 10 or more people is considered a party. Please complete this form with the details of your proposed party.  A board member will reply to let you know if your party is approved within 2 weeks. Once your party is approved:
  1.  A deposit of 50% is due- please bring cash to the pool or submit your deposit via Cash app ($LochearnPool please include your name and “party deposit”). 
  2. The remainder of the party fees are due before you leave the pool on the day of your party. A $25 late fee will be added to any balances not paid on the day of your party. 
  3. All guests must sign in on the party sign-in form at the front office.  There will be a charge of $10 for every non-member guest over the indicated number of guests on your request.
  4. Party fees include up to 3 hours of party time plus 30 minutes of setup, and 30 minutes of clean-up. For each additional hour, the fee is: 
    ● $30 for parties of up to 20 people 
    ● $50 for parties of 21-50 people
    ● $75 for parties of 51 or more people. 
ALL parties must be set up in the party area behind the bathhouse. Parties are not allowed to be under the pavilion by the snack bar. 
  • In the case that two parties are scheduled on one day, the larger party will be located in the party area and the smaller party will located at the picnic table near the grill. 
  • Please also note that the party areas are OUTDOOR and may have dirt or dust on the tables. Please allow for 30 minutes to prepare the area before the party. 
  • If you require a canopy for your party, request it from the lifeguards- canopies require a minimum of two people to set them up. 
  • Party hosts are responsible for setup and cleanup of their designated party area. Any messes that require staff cleanup will be assessed a clean-up fee.

Please agree to the following party policies: 

● All party requests must be sent at least 2 weeks before the party; Board approval is needed for parties more than 15 people- this may take up to a month.  
● Once the party is approved, you will receive a confirmation letter via email. 
● All parties must be held in the picnic area (unless prior approval was given). If there is inclement weather and there is sufficient space, the pool manager on duty may make an exception to allow the continuation of the party to carry on under the pavilion. These two conditions are the only grounds for exception to this rule. 
● A nonrefundable deposit of 50% is required upon party approval. This will be based on the number of guests submitted on the party request from. The remainder of the party fees are due before you leave the pool on the day of your party. A $25 late fee will be added to any balances not paid on the day of your party. 
● All guests, members and non-members, must sign in. Sign in sheet will be at the front office. 
● All parties approved by the Board will be for a maximum of 3 hours, unless prior approval was given for longer. We will allow 30 minutes prior to the party for you to “set up” as well as 30 minutes after the party for you to “clean up.” 
● The sponsoring member must be present with the group for the entire duration of the event. 
● Adequate adult supervision is required for children and teenage groups. 
● ALCOHOL IS NOT PERMITTED ON POOL GROUNDS DUE TO LIABILITY. 
● No glass containers are permitted on pool grounds. 
● Lochearn Community Club is a non-smoking facility. No smoking is allowed inside the fenced area. Smokers are allowed to smoke in the designated smoking area only. 
●All participants, whether members or guests, MUST have passed the deep water test prior to using the deep end of the pool or the diving area. 

●Once a party is approved, payment for guests will be expected, rain or shine. No rain dates are allowed. Members must re-submit a request for a new date if The Club needs to close the pool for catastrophic weather-related reasons. 

●The fee for nonmember guests will be $10.00 per person to attend the party. This fee applies to all non member guests whether they are swimming or not. Babies aged 3 and under are free.

All groups must comply with the Club’s current rules and regulations. It is the responsibility of the party host to make sure guests follow rules. Copies of the rules are available at the office. I have read the Party Policy of the Lochearn Community Club and hereby agree to abide by them. I also agree that the declared information on the Party Request Form is accurate.
