Acknowledgment of SUNY Poly’s Child Protection Policy Requirements

SUNY Poly is committed to protecting the safety and well-being of children who visit our campus and/or participate in University sponsored youth programs/activities.  As a campus, we are rich in knowledge and share a desire to not only educate our students but to offer a variety of learning experiences and engagement opportunities to the youth of our greater community. Often, third party organizations collaborate or partner with various campus departments to bring youth to campus.  Some of these programs include but are not limited to service opportunities, athletic camps, theater and musical performances, music lessons, academic and personal enrichment programs, tutoring, school field trips to visit the planetarium, science outreach programs, Admissions tours, library visits and so many other wonderful programs and activities that allow youth to participate in a variety of learning experiences and engagement opportunities here at SUNY Poly.

Third Party Responsibilities Outlined Per the Child Protection Policy
Third party organizations that bring children under the age of 17 to visit campus or participate in University sponsored programs/activity, must review in advance of the scheduled program/activity, the SUNY-wide Child Protection Policy and the Policy on Mandatory Reporting and Prevention of Child Sexual Abuse.  In addition, all third party organizations must sign this Acknowledgement and return within 5 business days of the scheduled program / activity and must agree to abide by the following:
  • All staff and volunteers are required to review the SUNY Child Protection Policy and the Policy on Mandatory Reporting and Prevention of Child Sexual Abuse.
  • Acknowledge that Sex Offender Registry searches have been conducted on all staff and volunteers in accordance with the Policy;
  • Conduct a search of all staff and volunteers who will be responsible for youth through the NY Sex Offender Registry and the National Sex Offender Public website within the (90) day period preceding the sponsored activity;  
  • Retention of the records of the results of each search;
  • Adhere to the minimum staff-to-child supervision ratios
  • 5 years and younger: 1 staff for each 6 children;
  • 6-8 years: 1 staff for each 8 children;
  • 9 – 14 years: 1 staff for each 10 children;
  • 15-16 years: 1 staff for each 12 children;
  • At least 80% of its staff and volunteers are 18 years of age or older;
  • Staff and volunteers have training specific to the program or activity; and
  • The overall supervisor for each program and activity is an adult with certification or documented training and/or experience in that program or activity.
NOTE:  The policy outlines a minimum staff-to-child ratio, however to ensure that children are being supervised at all times it may be necessary to provide more staff especially if there are break-out sessions that may divide the group of children as each group will require supervision during the program or activity.
Obligation to Report

Individuals who witness or receive a report of child abuse, or who reasonably believe such abuse has occurred, must report inappropriate conduct to University Police – 315-792-7111, Kunsela Hall, Utica NY.
