Outdoor Adventure Expo Form

SATURDAY SEPTEMBER 30TH & SUNDAY OCTOBER 1ST, 2023 - 10am - 5pm -THIS IS A 2 DAY EVENT

READ THE FOLLOWING.....
  • All vendors are approved unless you hear otherwise. 
  • Payment must be submitted via PayPal or Check/Cash/Money Order upon completion of vendor form. If it is not received within 15 days of application submission the reserved space will be forfeited
  • ONLY online applications will be accepted - remember to hit submit button at the bottom of the form. You DO NOT need to print, scan, email, etc a copy of the form. 
  • Electricity is not available
  • No early tear down
  • NO Refunds - cancellations received more than 30 days in advance of event will receive credit towards future DHP vendor events. 
  • This is a RAIN or SHINE event, Hawley Harvest Hoedown does not have a rain date and will not cancel unless there is SEVERE weather conditions.
  • Space locations will be assigned by DHP without priority
  • The DHP cannot guarantee foot traffic or sales
  • Setup will begin at 8am on the day of the event.
  • All vehicles must be removed from setup area prior to 10am
  • No vehicle entry will be permitted after 10am or prior to 5pm
  • DO NOT BLOCK another space during unloading/loading your vehicle
  • Unload your vehicle at your space and then move it immediately. 
  • There is no overnight security - any items left are at your own risk
  • Final instructions will be assigned and emailed approx. 1 week prior to the event

I WISH TO RESERVE SPACE(S) AT THE OUTDOOR ADVENTURE EXPO DURING THE HAWLEY HARVEST HOEDOWN ON SATURDAY SEPTEMBER 30TH & SUNDAY OCTOBER 1,  2023. 

ADDITIONAL TERMS & CONDITIONS

I/We understand:

That space is on an as available basis and that while DHP (Downtown Hawley Partnership) and the Hoedown Committee will make every effort to honor specific space/location requests, they are not guaranteed, and DHP reserves the right to reassign or adjust spaces as needed. Efforts will be made to prevent similar crafts from being stationed next to each other. 

That after unloading all vehicles must be moved from the exhibit area; at the end of the day breakdown should not begin until the event closes at 5:00 p.m. All vehicles need to be moved by 10a, no one will be allowed entry past that time.

That I am responsible to remove any trash, empty boxes, and other refuse generated from my exhibit space.

That there is no rain date for this event. Unless inclement weather is severe, the Hawley Harvest Hoedown will take place Rain or Shine.

That DHP and Hawley Borough assume no liability for loss to the Exhibitor for any reason such as theft, accident, or other cause, and that I/We will be compliant with various applicable regulatory requirements such as food handling/PA Dept of Ag or USDA, PA Sales & Use tax, etc. All vendors shall have the DHP named as additional insured on their insurance policy.

That our display will be set-up in an attractive manner. Tables should be covered and exhibit area will be kept neat throughout the day.
