Please note your deposit and final payment due dates listed on your invoice to ensure your program is not cancelled. The deposit will hold your specific date/time and is applied to your balance. If you need additional time to pay for your deposit, please contact us at educate@mote.org. Groups who do not pay their deposit or balance in time may forfeit their scheduled day/time and may not be able to reschedule their trip.

Purchase orders are accepted in lieu of a 20% deposit. A fully executed PO is due within 14 days of receipt of this invoice.

NOTE: Any requests for changes after your invoice is received and any cancellations must be made in writing and sent to educate@mote.org.

If your organization cannot pay by check, please email us at educate@mote.org to arrange payment via credit card. Credit card payments cannot be processed over the phone. All credit card transactions are subject to a base fee of $3.50 + 2.9% of your payment amount. This processing fee is non-refundable and is in addition to your program fees.

If final payment is not received by your due date, your reservation is subject to cancellation and you will forfeit your deposit. A 5% late fee will be applied to any invoice not paid on time.

CHANGES TO YOUR INVOICE
- Any requests for changes after your invoice is received and any cancellations MUST be made in writing and sent to educate@mote.org.
- Email educate@mote.org TWO WEEKS PRIOR TO YOUR INVOICE DUE DATE should your numbers change and we will send you an adjusted invoice.
- Please see notes below regarding discounts and chaperones.

NOTE: All payments are non-refundable. Refunds will not be given for any unused portion of your order.

CANCELLATIONS AND REFUNDS
Due to the extensive time, facility coordination efforts and planning involved in Mote's Education programs, there are no refunds for Mote Education onsite group visits or virtual programming.
If you cancel your reservation within 14 days of booking your visit and before paying your deposit, there will be no penalty.
If you cancel your reservation 15 days or more after booking your visit, you will forfeit your 20% non-refundable deposit.
If you cancel less than 7 days before your scheduled visit, no refund will be issued. If you are cancelling within 7 days due to COVID-19 or inclement weather, we will issue a credit for the amount paid, good toward a future field trip.
No-shows will receive no refunds.

- Groups who reschedule may be subject to a $25.00 processing fee. Please note that rescheduling cannot be guaranteed due to limited availability.
- In the event Mote must cancel your visit, we will provide your group with a credit for the full amount paid and you may use that credit within 1 year toward any onsite visit, outreach, or virtual program.

MEMBERSHIPS & CHAPERONES
- Mote memberships or any partner's reciprocal memberships are not valid for virtual or onsite field trip programs.
- Chaperones are any adult attending the program, including teachers, other school/org staff, and parents/guardians.
- Schools/organizations are responsible for collecting money from participants and chaperones to pay in one transaction. ALL CHAPERONES MUST BE INCLUDED ON YOUR INVOICE. Individual payments are not accepted and chaperones cannot pay onsite for your program.
