Matka Workshop Day 2025 Pre and Post Tours registration for hosting Destinations and Companies
Thank you for pre-registering as a Matka Workshop Day 2025 Pre and Post Tour destination! MATKA Workshop Day 2025 pre- and post-tour programmes are usually implemented as part of the workshop event itself. The goal is to offer around ten attractive and high-quality tours/visits in Finland and nearby markets, the duration of which is from half a day to 3/4 days (2/3 nights). About 200-250 buyers are expected for the workshop event. Pre- and post-tours are especially suitable for tourism areas, cooperation between several tourism areas or larger tourism companies that have offerings for different nationalities and customer groups. The last registration day is 31 October 2024.

  TOUR PARTICIPANTS • 4-7 people/group, maximum 10-15 participants (note: participant restrictions for different packages) • The whole group from one country or gathered from several different nationalities • Possibly including media representatives as well STARTING AND ENDING PLACES OF THE PROGRAMMES • Departure port or airport in Finland, Helsinki railway station (including transport from accommodation places), • Messukeskus (bus or taxi transport) • Accommodation in the capital region (bus or taxi transport) THEMES AND CUSTOMER SEGMENTS Tourist destinations and companies can launch their new products or present existing services using different themes and customer segments. These include e.g. certain summer or presentation of winter activity, well-being theme, families with children, a well-known person or presentation of the event's anniversary, luxury travel, culture and events, etc. Participating companies and destinations can be part of a larger tour. In addition to target and company presentations, we are looking for ready-made product packages for sale.
ORGANIZER'S RESPONSIBILITIES The organizer's task is to plan a "fully hosted" programme that fits the schedule, in which he is responsible for the group's transportation, accommodation, food, programme implementation and all incurred costs. THE ORGANIZER'S SELECTION IS AFFECTED • time of registration (first-come, first-served) • the completion of the programme and the attractiveness of the programme as a whole • foreign buyers are interested in the programme. Note! The organizing Tourism area and/or company must be a main or sub-exhibitor OR otherwise sponsor/perform at the Matka 2025 fair AND as a vendor at the MATKA Workshop Day 2025 event. The arrangement fees in the Pre and Post Tour and Site Inspection programmes for accommodation companies are: Pre and Post Tour programmes We charge 1 200 - 2 200 euros + VAT 24% as an arrangement fee for one pre or post tour programme. Tour guide service 500 euros/day/8 hours + VAT 24%. Bus rental 500 euros/day/8 hours + VAT 24%. The tour leader and the total price of the bus rental will be shared between the participating accommodation companies. Any catering provided by accommodation companies during the visit is not included in this arrangement fee.

The options are: 1. ToolBox Consulting Ltd reserves the right to choose (accept/reject) a tour operator who has shown his willingness to participate in the trip. The ToolBox staff will announce the names of the participants. The travel destination cannot limit nationalities. Price 1 200 euros + VAT 24%/1 excursion and 1 500 euros+ VAT 24%/2 excursions. 2a. The travel destination has the opportunity to choose (accept/reject) a tour operator who has shown his willingness to participate in the trip. The tour operators are of different nationalities (no nationality restriction; the travel destination cannot limit nationalities. However, ToolBox takes the wishes into account, but fills in with other nationalities in order to get the minimum number of participants on the trip (4 – 7)). Price 1 500 euros + VAT 24%/1 excursion and 1 800 euros + VAT 24%/2 excursions. 2b. The travel destination has the option to choose (accept/reject) a travel organizer, some of which are participants proposed by the travel destination AND the participants are of different nationalities (no nationality restriction; the travel destination cannot limit nationalities. However, ToolBox takes into account the wishes of the travel destination, but fills in with other nationalities if the desired nationalities are not available and so that the minimum number of participants allowed on the trip (4 – 7)). Price 1 500 euros + VAT 24%/ 1 excursion and 1 800 euros + VAT 24% / 2 excursions. 3a. The travel destination has the option to choose (accept / reject) tour operators. The destination may limit the number of nationalities. However, nationalities must be accepted from at least 3 different countries. Maximum of 10 participants. Price 1 900 euros+ VAT 24%/1 excursion and 2 200 euros + VAT 24%/2 excursions. 3b. The destination offers a special theme program for tour operators (e.g. sauna, family travel, food, winter activity, etc.). The destination may limit the number of nationalities. However, nationalities from at least 3 different countries must be accepted. Maximum of 10 participants. Price 1 900 euros + VAT 24% / 1 excursion and 2 200 euros + VAT 24% / 2 excursions. 4. Site Inspection programs of accommodation companies. There are 4 price options.
Accommodation visits in the capital region (Helsinki, Espoo, Vantaa, Kauniainen and, where applicable, Uusimaa area). NOVELTY! The prices do not include the tour manager and transport company service.: * 4 accommodation units 1 600 euros + VAT 24% (if applicable) * 3 accommodation units: 1 200 euros + VAT 24% (if applicable) * 2 accommodation units 800 euros + VAT 24% (if applicable) * 1 accommodation unit 400 euros + VAT 24% (if applicable) Excursion dates Pre Tour programs can be implemented between January 11 and January 15, 2025. Post Tour programs can be implemented after 16:00 on 17 January - 20 January 2025.

THE PRICE INCLUDES there can be no more than 2 tour programmes, e.g. 1 Pre Tour and 1 Post Tour travel arrangements and contacts of tour operators, representatives of travel agencies communication with the contact person responsible for the pre- and post-tour programs feedback regarding programs Matka Workshop Day 2025 Buyers contact information for the persons participating in the programme presentation of pre- and post-tour destinations to foreign tour operators or travel agency representatives participating in the tour NOT INCLUDED IN THE PRICE there are only representatives of one nationality tour guide services transport, food or accommodation costs departure point -> places to visit -> return point all the so-called transfer and ground services, programs, accommodation and meals at the destination are costs of the destination. Pre- and Post-Tour programmes: We commit to producing 4 - 7 tour operators/trip. In arrangement packages 1 and 2 the maximum number is 10 and in arrangement package 3 the maximum number is 15 participants. What is the maximum number of tour operators your company can accept?
