Room Reservation Policy Agreement Form 2024

In order to confirm your reservation, you must follow the below guidelines and sign off to the agreements on this form. 

RESERVATION STATUS 

Reservations are made on a first-come, first-served basis. Only members of the School of Social Sciences can reserve space in SBSG 1321, SSPB 1222 and SSPA 5130. Reservations for SBSG 1517 can be reserved by members of either the School of Social Sciences or Social Ecology. All conference rooms are available during the regular business hours of 8 AM to 5 PM Monday through Friday. Before and after hour requests will be considered on a case by case basis. 

FACILITY USAGE AND CLEAN-UP 

Users will be responsible for any damage done to the facilities. The room must be left in excellent condition. 

Please inspect the room at the beginning of your reservation. If you notice damage, notify the Dean’s office through email at aalabssi@uci.edu or by phone at 949-824-2766 before starting your meeting. Failure to do so may result in your future ability to make reservations being revoked. 

In addition, users are responsible for the behavior of their guests. 

EQUIPMENT REPLACEMENT 

Any damaged, lost, or stolen equipment will be charged at replacement cost value. 

CATERING, FOOD SERVICE AND ROOM SET UP 

Food and beverage are permitted in the rooms. As long as users comply with University regulations regarding catering service. If you wish to utilize catering and or/the use of tables, please contact UCI hospitality at catering@uci.edu or UCI Catering 

If additional trash cans are needed for the event, please submit a work order at least 1 week in advance here. Please note there might be an additional fee for extra trash cans. 

If you need a specific room setup please submit a work order at least 1 week in advance here with as much details as possible. 

ALCOHOL USE 

Users must adhere to campus policy 900-13. A UCI Permit to Serve Alcoholic Beverages must be fully completed and submitted. It is suggested that the form be submitted at least 20 business days before the event to allow time for the proper signatures. The form then must be submitted to the UCI Police Department for final approval. Please work with your department to complete the permit form.

AUDIOVISUAL 

The Dean’s Office does not provide staff to monitor A/V or computer needs during your event. It is the sole responsibility of the user to assign a member of the user group to train and serve this role during the event. Please contact aalabssi@uci.edu at least 48 hours in advance to schedule training. 

BUILDING ACCESS 

The main entrances and elevators in SBSG, SSPB and SSPA are accessible Monday through Friday from 7:00 AM to 11:00 PM. Hours are subject to change. Special arrangements are necessary for after-hours events. Please be sure to coordinate with our office ahead of time if after-hours access is required. Please note for access to bathrooms on the weekend, a facilities request must be made at least 2 weeks in advance here. 

EVENT SIGNAGE AND PUBLICITY MATERIALS 

Signage for events held in SBSG, SSPB and SSPA should be displayed only on easels and/or sandwich boards. It is the responsibility of the user to place the signs on the day of the event. Signs must be taken down once the event is over. 

OTHER REGULATIONS 

In addition to the guidelines within this agreement, it is understood by your department or group that all applicable federal, state, and municipal laws and ordinances, and all other University policies and procedures apply to your guests in their use of the SBSG, SSPB and SSPA facilities. By making a reservation and completing the reservation form, you agree with the above policies and regulations. 

Each space has standards that must be adhered to. Please follow the check-list below:

  • Keep the room clean, wipe down the glass boards when the meeting is completed
  • Turn off the TV or projector, put projector screen back up and turn off lights
  • Set room back to normal room set up (SBSG 1321 and 1517: classroom style and SSPB 1222: boardroom style)
  • Clean any trash off the tables 
  • Take out the trash and ensure there is a new empty bag for the next guest in all trash cans. Extra trash bags can be found at the bottom of the podium and cleaning supplies will be in a clear plastic bin in the room. Where to take the trash, see map here.
  • Lock all doors on your way out 

Term of Agreement: By filling out this form, you agree to all of the expectations listed therein for the AY 23-24. This form must be completed ONCE per Academic Year in order to reserve the conference rooms managed by the School of Social Sciences Dean's Office. In the event of any issues arise subsequent to your reservation, we will conduct a thorough review and make any necessary adjustments to future reservations.
