OUR SPACE Terms and Conditions
 

Policy
OUR SPACE is a daily after school club run by the school and is for pupils who attend the school.
The purpose of OUR SPACE is to provide additional childcare provision for the children through activities that enable them to learn, play, develop skills and socialise with their peers. All of the above are supervised by qualified members of staff who are DBS checked.

The cost is £7.00 per child per day (session). 

OUR SPACE runs from 3:30pm to 6.00pm daily.
Should you require your child to attend OUR SPACE after any of the After School Activity Clubs, you will be charged £5.00. (Please be aware that in these cases, a meal will not be provided for your child – you must provide a snack)

Registration
1. When you register your child for OUR SPACE, this reserves a place for your child to attend on a full or part time basis, commencing on the agreed start date. If there are no places available at the time, your application will be placed on a waiting list. This is operated in strict rotation according to the date of registration and the type of place required. There is no guarantee that a place will become available.

2. In order to register your child for OUR SPACE or to be added to our waiting list, parents must read and sign a registration form. Without this, we are not legally able to take your child on at OUR SPACE.

3. Registration for part-time places must specify which days are required. Whilst we will do our best to accommodate your child on the specified days, we cannot guarantee being able to do so.

4. Parents are required to re-register their child/children for OUR SPACE annually (every September).

Payment of Fees
1. All pre booked OUR SPACE sessions are to be paid for half termly, in advance. Children cannot attend OUR SPACE unless payments have been made before attending sessions.

2. You will be charged for the days you have requested on the registration form, even if your child does not attend for any reason.

3. Our fees are reviewed annually each September and parents will be notified of any changes.

Notice Period
1. If parents/carers wish to reduce the number of days that their child attends OUR SPACE or stop their child attending completely, a minimum of one week’s notice, in writing, is required.

2. Should parents/carers take their children out of OUR SPACE, they are required to re-register if they want their child to attend at a later date. The child will then be placed on the waiting list if there are no places available (the terms and conditions of which are as described in section one of the registration section.)

3. Parents are expected to give one week’s notice to the club if their child no longer needs the OUR SPACE service; this notice should be given in writing. Once the notice is given by parents/carers, this will bring our contract to an end.

Mutual Obligations
1) We reserve the right to send home any child, if deemed necessary, or if it is in the best interest for the child or other children. The school is obligated to follow any procedures and policies with regards to sending children home safely.

2) Parents cannot call the school during the day to ask for their child to go to OUR SPACE. On registration, you will be asked what days you require and therefore your child will have to attend those days only. If you require to change or alter your days, you will need to complete another form requesting the additional day/s. If available, you will then be notified accordingly.                                                      

3) Please collect your child promptly. Failure to comply will incur the following sanctions
1. One verbal warning
2. One written warning
3. Exclusion from OUR SPACE

4) Parents/carers should inform OUR SPACE if any of the following details change.
i) Address or telephone numbers (including contact numbers for both parents/carers and any other chosen representative.)
ii) Any information relating to their child’s health or individual requirements.

5) If a parent/carer nominates a chosen representative to collect their child from us, we must be given the following information in advance wherever possible:
i) The name of the chosen representative.
ii) Their relationship to the parent(s) or child and sufficient additional information to ensure that our security systems are not compromised.

If the relevant contacts cannot be made and the time of collection is significantly passed (1 hour), we will then inform the local police and the relevant out of hours, social services “duty” emergency team (0208-937-1234).
No one under the age of 16 can collect a child from OUR SPACE if the child being collected is aged 8 years or younger.
6) It will be assumed that OUR SPACE has permission for all children to be taken outside the school building onto any other area of the school grounds during OUR SPACE.
