Thank you for considering serving on the 2024-2025 Arlington Colt Tennis Booster Board. Below you will find available positions to be filled with a detailed description of the duties. Please take a moment to read which positions are available, consider what best suits your strengths, and fill out and submit the form for consideration.  Parents will have the opportunity to vote for representatives at the April Booster Club meeting. Each member of the Colt Tennis Booster Board must adhere to Club Bylaws, UIL Booster Club guidelines, and AISD Booster Club policies and procedures.

President  ***WE HAVE A NOMINEE FOR THIS POSITION***
- Call all Booster Club meetings according to the schedule in the by laws
- Prepare agenda and preside over all meetings of the Club
- Coordinate the work of the officers and committees to ensure that the Club’s purposes are promoted and met
- Work directly with the Treasurer to ensure that the Club’s financial guidelines policies and reporting needs are met
- Sign any contract or document approved by the Executive Board, as needed
- Work with team officers to execute by laws and create amendment proposals if needed
- Oversee facilitation of fundraisers

Vice President  ***WE HAVE A NOMINEE FOR THIS POSITION***
- Preside over meetings in the absence of President
- Authorized to sign any contract or document approved by the Executive Board, as needed
- Responsible for the maintenance and/or amendments to the by-laws
- Serve as co-chairperson of the Fundraising Committee
- Initiate the establishing and promoting of annual membership packages, working with Event/Fundraising Chairman  
- Oversee volunteers during fundraising events
- Assist with setting up of special events (tables, chairs, or any other function needed during fundraising events)
Treasurer  ***WE HAVE A NOMINEE FOR THIS POSITION***
- Provide accountability and a sign off on money collected
- Keep a running total of how much the teams have contributed to the overall program
- Communicate with Coach regarding items needed for Students
- Keep a permanent record and account for financial transactions
- Provide the annual treasurer report to the committee
- Present all records to be audited, as requested
Secretary ***WE HAVE A NOMINEE FOR THIS POSITION***
- Adhere to Club Bylaws, Texas UIL Booster Club Guidelines, and AISD Booster Club policies and procedures
- Record and maintain attendance and meeting minutes for the Club
- Provide a transcription of attendance and meeting minutes via email within seven days of each meeting  
- Communicate meeting minutes to Marketer to disseminate information to parents
- Write official correspondence at the direction of the Club/Executive Board/officers and maintain a record of all correspondence
Marketer
- Initiate communication with parents regarding booster club and tennis events
- Maintain booster club website
- Continuously update social media
- Establish and maintain an email database of booster and team members who volunteer their contact information
- Work with Event/Fundraiser Chairman to solicit and obtain corporate and individual sponsorships
Banquet Coordinator 
- Plan, organize, and execute the annual spring tennis banquet
- Submit budget to Board
- Reserve banquet facility
- Arrange food, drinks, decorations
- Work with coach to create banquet program and provide awards for players at the banquet
- Recruit volunteers for helping set up before, serve during if needed, and clean up after banquet 
Event/Fundraising Coordinator  ***WE HAVE A NOMINEE FOR THIS POSITION***
- Organize fundraising events to support activities of the Club and/or any special projects approved by the Club or Executive Board
- Work with Vice President to establish, promote, and obtain annual booster membership packages
- Work with Marketer to solicit and obtain corporate and individual sponsorships, and oversee the administration of such donations
- Recruit volunteers to run refreshments at events
- Recruit volunteers to sell spirit items at events
Junior High Representative  ***WE HAVE A NOMINEE FOR THIS POSITION***
- Work closely with Marketer to relay information to junior highs through flyers and social media
- Work with coach in the spring semester to distribute information to feeder elementary schools and junior highs regarding the junior high tennis program
- Assist and recruit parent volunteers as needed for junior high tennis events
Spirit Wear Coordinator ***WE HAVE A NOMINEE FOR THIS POSITION***
- Work with local screen printer to design booster membership t-shirts and new spirit wear items to sell at Colt Country Fair and throughout the year as needed
- Be in charge of spirit wear delivery to school and/or pickup
- Work with Event/Fundraising Coordinator to put together and distribute sponsorship packages
- Be proficient with Square sales, and update inventory on Square
