Edwards Spouses' Club Mistletoe Bazaar 2022    *Vendor Terms + Conditions*

                           Wednesday, November 30, 2022 9am-3pm

BASE ACCESS: All vendors must have base access or pass the base screening process. If a vendor does not currently have base access, the following information must be provided to EAFB Security Forces for screening: full name, date of birth, social security number, driver's license number. The Edwards Spouses Club will collect vendors' information and submit to EAFB Security Forces NO LATER THAN November 11th. Failure to provide the requested information by November 11th will result in the denial of the vendor application. Please note: if base access is granted for this event, this access is limited to the event at Club Muroc only. No more than two individuals will be allowed access per table. ***Due to Covid restrictions, and a limited amount of people allowed in the room at the same time, it will be more beneficial to you as a vendor to only have one person per table.
The more vendor helpers in the room, the fewer customers will be allowed in.  We have to be very careful with these numbers because we do not want to end up being shut down***

REGISTRATION FEES: A registration fee of $95 (+ a small fee when paid through square) is due to the Edwards Spouses' Club with the completed vendor application. This fee is NON-REFUNDABLE unless we have to cancel due to Covid restrictions.  In that case, you will receive a full refund.  That fee includes one lunch per table on Tuesday. The Edwards Spouses' Club will provide one lunch per table on Friday. Late applications, if approved, will be assessed a $10 late fee.

DEADLINE: This FULLY COMPLETED application must be accompanied by the full registration fee of $95 per table no later than close of business on November 11th, 2022- this date is FIRM for those requiring sponsorship to obtain base access.  ****Since we have to limit the amounts of tables in order to be able to social distance, spots will be available on a first-come first-serve basis****

The Edwards Spouses' Club reserves the right to deny any application deemed incompatible with the values of the Mistletoe Bazaar, the Edwards Spouses' Club, and/or Edwards Air Force Base.

Vendor Terms and Conditions:
***First and Most Important! IF YOU ARE SICK, PLEASE DO NOT COME TO THE EVENT.  According to Edwards AFB Policies, you cannot come on the base if you are experiencing COVID symptoms***
***We will be following Edwards AFB Covid Protocols.***

1. Table rental fee for this event is $95.00. This fee is NON-REFUNDABLE.  (Unless we have to cancel due to Covid)
2. All vendors are required to donate a gift of their choice. The ESC will be raising funds with these donated items for opportunity drawings throughout the event. Please donate your gift upon checking in on the morning of the event.
3. Vendors will be provided with an eight-foot table, depending on Club Muroc availability, along with two chairs and white linens.  No display pieces will be provided. Please be sure to note if you do not require a table or chairs.
4. All vendors must thoroughly explain the nature of the items they intend to sell. Failure to disclose any item may result in the removal of said item from the bazaar.
5. Only one vendor from each Direct Sales company will be allowed.
6. Applications will not be considered final until payment has been received. Postmarks will be noted.
7. All tables are assigned by the Edwards Spouses' Club ahead of time. We ask that you respect the space of the vendors next to you and keep your display in your assigned area.
8. It is the vendor's responsibility to let event coordinators know ahead of time if extra chairs or electrical access will be needed. Failure to communicate this ahead of time may result in the amenities not being available. Please prepare for the possibility of not having access to a power outlet.
9. Vendor may take possession of their pre-assigned table at 07:15 AM on Tuesday, November 29th, 2021 to begin set-up.
10. Vendors must conduct themselves in a professional manner. Failure to do so will result in the immediate dismissal of the vendor from the event. Any vendors found to be conducting business in an unprofessional manner will not be allowed back at any future Edwards Spouses' Club events.
11. Vendors accept sole responsibility for monetary aspects of their table and surrounding area. Vendors assume sole responsibility for checks they accept and will not hold the Edwards Spouses' Club responsible should a problem occur with collection.
12. No children under the age of 10 are allowed to accompany vendors. Children ages 10+ will be considered on a case-by-case basis at the discretion of the Bazaar Chair.
13. No outside food is permitted per Club Muroc policy. No alcoholic beverages are to be consumed within the Bazaar. Club Muroc is a smoke-free facility, and no smoking/vaping is allowed on the premises unless specifically marked otherwise.
14. In the event that you have been granted base access for this event, only 2 people per vendor application will be considered for access. All vendors must have base access or pass the base screening process. If base access is required all requested information must be provided for Security Forces to screen, this may include but not limited to SS# birth date, and DL number. Information will be requested once an application is accepted and processed. This information must be provided by Nov 11th or you will forfeit your spot. Once base access is granted, this is limited to the event at Club Muroc and does not include other base privileges such as shopping or fuel station.
15. Booth tear down shall begin no earlier than 1500 on November 30th. Any vendor found to be in violation of this condition shall be considered in breach of contract, and will not be allowed to return to any future Edwards Spouses' Club event. Exceptions will be made by the Bazaar Chair, on a case-by-case basis, only in the event of illness or family emergency.
16. Vendors must leave their area in the same condition they found it -- clean and free of any trash or recycling.
17. Each vendor assumes all responsibility for loss or damage of his/her property before, during, and after the event. The undersigned does hereby agree that in consideration for the exhibition event opportunity, the Edwards Spouses' Club, Club Muroc, and Edwards Air Force Base are hereby absolved of any liability or obligation, actual or implied, for any losses, costs, or damages and shall be fully held harmless and blameless against any claim made by or for the benefit of the undersigned vendor.
18.  There is ABSOLUTELY NO OUTSIDE ALCOHOL ALLOWED! The Club found various bottles of wine and alcohol in the trash after our event in previous years and is being gracious enough to allow us access to the club on good faith. If anyone is found bringing in alcohol and wine, we will not only ask you to leave immediately but you will be banned from any other future events on Edwards AFB.  With that said, there will also be NO ORDERING ALCOHOLIC drinks from the bar.  This is a family event and consuming alcohol during vending hours is not permitted or tolerated under any circumstances.
