This privacy policy applies to information that we, The Community of the Holy Fathers Greek Orthodox Church, Shrewsbury, Registered Charity 1087910, collect about individuals who interact with our organisation. It explains what personal information we collect and how we use it.

The information (‘data’) we hold

We collect and hold the following information about individuals:

Christian name, surname, postal address, postcode.
Telephone number (landline or mobile depending on what you have told us), email address.
Orthodox name, date of nameday, membership status, and whether you’ve chosen to receive regular news and information.
Details of any pledges made to the Community of financial support, time or talents (as set out in the Stewardship Commitment Card).

The reason we hold it:

The basis on which we hold this data is “Legitimate interests”, within the meaning of the General Data
Protection Regulations 2018 (GDPR) which, in our case, include the following:
Communication with you and pastoral care.
Maintenance of membership database.
Maintenance of a record of gift-aid donations, as a registered charity, for submission from time to time to Her Majesty’s Revenue and Customs (HMRC).
Maintenance of a postal or email mailing list for distribution of notices about services, events and announcements, etc.
We will not use the data we hold about you for any other purpose unless you explicitly request and agree in every case.

Consent, updating and deleting:

If you fill in and submit, each year, a membership application form (and pay the subscription), or make donations to the Community of the Holy Fathers through the gift-aid scheme, or request to receive regular news and information about us, or submit a Stewardship Commitment Card then you are considered to have given your consent for us to hold data about you.

The membership application form provides a method for checking and updating our records annually, but we will check and update data for non-members at least every 3 years, as this is required by the GDPR. In addition, you have the right, under the GDPR, to see and check the data yourself.

We will hold only the minimum data that enables us to fulfil our obligations.We will delete any data we have about you as soon as it is no longer required (but the GDPR does permit an organisation to securely archive old data, instead of removing it, where appropriate).

Sharing of data

We will only share your data with a third party:
- with your explicit consent,
or
- if we use a third party specifically for the purposes of processing data on our behalf (e.g. HMRC) and where there is in place a data processing agreement with that third party, or laws governing that third party, that continue to protect your privacy,
or
- if we are required by law to share your data.
