Vendor Guidelines and Registration

HOURS: 11:00am - 6:00pm

Payment instructions will be emailed after your registration is received and approved.  Your payment is due and payable upon notice of approval.

There is no electricity available.  Generators up to 70 dba will be allowed.

All Vendors
  • Vendors will supply their own tents, tables, and supplies.
  • Vendor set-up hours are from 7:00am until 10:30am.  
  • Canopies/pop-ups must be set up by 10:30.  
  • Vendors will be open and ready to sell at 11:00am.
  • Vehicles are only allowed on the field to unload and load products.  Once unloaded, you must move your vehicle to designated parking before setting up your booth.   All vehicles must be removed from the event area by 10:30am with no exceptions.
  • If a vendor sells out of product, they will make a "sold out" sign and may leave their tent.  The booth cannot be taken down until 6:00pm.
  • Packing and tear-down cannot begin before 6:00pm unless notified otherwise by Event Staff.
  • Vendor and staff in booth will operate in a courteous, professional manner.
  • Vendors will have signage at their booth identifying the business name and location.
  • Vendors should not have pets, other than documented service dogs, in their space.
  • Vendor space will be kept neat and clear of debris.  A dumpster will be on site for trash.
  • Vendor is subject to a $25 clean-up fee if any trash is left at their site.
  • All vendors using any sort of open flame must have a certified fire extinguisher on hand.
  • Vendor shall not sell prohibited items including firearms, animals, pornographic material, items made from endangered species, items violating trademark regulations, cannabis or associated products, or any other item deemed objectionable by management.
  • Registration, associated documents, and payment must be received by July 31, 2024. Registration is not final until payment is received.
  • Cancellation must be received in written form (email is acceptable) by July 31, 2024 to receive a refund.  Vendors who cancel after July 31, 2024 will not receive a refund.
Food Vendors
  • Mobile food and drink units must be parked in their designated space by 10:00am.  Vehicles associated with mobile units must be removed from the area immediately.
  • Must satisfy all State and County safety and licensing requirements.
  • All canopies and tents under which cooking takes place, shall have a permanent attached label stating that the material is made of a fire-resistant product.  If there is no label, the material must be treated with a fire-resistant product.  The empty bottle or receipt must be readily producible on site.
  • Vendors will share in the cost of food for approximately ten (10) all-day volunteers.  Approved volunteers will have script that will be presented to pay for their purchase at face value.  At the end of the day, vendor will redeem script for 50% of the face value
  • Food vendors must provide a Certificate of Product Liability Insurance naming the City of Molalla, 117 N. Molalla Ave., Molalla OR 97038, as additional insured no later than July 31, 2024.  Deliver to 117 N. Molalla Ave., Molalla; or mail to Celebrate Molalla, City of Molalla, PO Box 248, Molalla, OR 97038.
