Museums Alaska Conference Host Application
Museums Alaska conferences are held every other year in the even years — 2024, 2026, 2028, 2030, etc. 

The number of in-person conference attendees depends on the city the conference is hosted in, but it can range from 40-100 attendees.

Host organization responsibilities:

  • Designate at least one person to coordinate with MA on the conference committee;
  • Identify and reserve meeting locations as needed;
  • Identify and help plan the Angels Project;
  • Arrange discount codes for local accommodations and airline travel where possible;
  • Provide local museum facilities at no cost for whatever receptions, banquet, luncheon, and evening events are planned there — wherever possible;
  • Make arrangements for transportation of conference attendees to events as necessary; 
  • Assist in organizing pre- and post-conference activities with local vendors as necessary;
  • Assist with solicitation of local sponsors, exhibitors, and vendors. 
  • Organize local speakers for a welcome address at the opening reception;
  • Assist with setting-up meeting venues for sessions and workshops;
  • Assist in locating necessary technology like projectors and screens as needed.
  • Assist with set-up of the vendor and sponsor tables;
  • Assist in coordinating conference volunteers and staffing of the registration table during the conference.

Museums Alaska responsibilities:
  • Manages the financials — fundraising, registrations, refunds, honorariums, invoices, etc.
  • Manages the conference committee
  • Creates the conference schedule with the conference committee
  • Solicits and manages the speakers and awards
  • Manages all conference communications
  • Manages conference swag
  • Manages the conference
  • Manages reporting
Conference profits, if there are any, are split 40% to the Host Museum or Cultural Center, and 60% to Museums Alaska.

We are open to thinking creatively about how to host a conference in your city, so please don't let a lack of traditional lodging, transportation, or meeting spaces deter you from submitting your information.

List the museums and cultural centers in your city.
How many people can your community accommodate in lodging? This information can usually be provided by your Chamber of Commerce.
How many restaurants/food trucks/caterers/grocery stores are in your city?

Is there transportation within your city for conference attendees? Rental cars, public transportation?
What locations are available to host conference sessions? Civic Center, Community Center, Library, Museum or Cultural Center, etc.
Our conferences are usually held in September. Are there any festivals or events in your city in September that may impact lodging and amenity options? 
Is there reliable internet in your city? This is not a requirement, but we are wondering if we would be able to stream portions of the conference.
