48th Annual Hope Watermelon Festival Dates: Thursday, August 8th through Saturday, August 10th
This is ONLY an application. Once accepted, you will be notified and responsible for payment. 

Payment Due By: June 30th, 2024 or placement will be forfeited. DO NOT SUBMIT PAYMENT until you receive an invoice from the Hope-Hempstead County Chamber of Commerce

2024 Vendor Available Spaces 
Indoor (10'x10'):
     - $250/ space without electricity
     - $275/ space with electricity (each space will ONLY be provided a single 110v outlet)
                       (Indoor vendors may be placed in the coliseum or horticulture building, request are considered                                 but not guaranteed.)
Outdoor (10'x10'): 
     - $200/ space without electricity
     - $225/ space with electricity (each space will ONLY be provided a single 110v outlet)
Covered Pavilion (10'x10'):
     -$125/ space includes electricity (each space will ONLY be provided a single 110v outlet)

All vendor location requests for specific spaces will be considered but are not guaranteed.
     -while we try to offer a variety of vendor options, exclusivity is not guaranteed.

All spaces are to be in operation Thursday-Saturday
 
Operating Times
Thursday   12:00pm- 9:00 pm
Friday         9:00 am - 9:00 pm
Saturday    9:00 am - 9:00 pm 
     -Concert gates open at 6pm. Concert attendees may want to shop during and after the concert.

Operating hours are suggested but left to the discretion of the vendor. Indoor locations will not be closed to festival attendees until 9pm. 

While Security will be provided during & after vendor operating hours, The Hope-Hempstead County Chamber of Commerce will not be held liable for unattended vendor booths or merchandise. 
Payment & Agreement
IF ACCEPTED you will receive an invoice through QuickBooks at the email provided on your application, please make sure this is a working email address.  

Payment Due By: June 30th, 2024 or placement will be forfeited. 

You may make payment through QuickBooks with a credit/debit card or by check.

Vendor releases Hope-Hempstead County Chamber of Commerce & The Hope Watermelon Festival from any liability for damages sustained by the vendor, vendors family, volunteers, employees, contractors,  or customers. Vendor agrees to indemnify the Hope-Hempstead County Chamber of Commerce of any loss or liability, including the cost of defending any claim or lawsuit the Hope-Hempstead County Chamber of Commerce may suffer as a result of any injuries or damages suffered by the vendor, vendors family, volunteers, employees, contractors, or customers. 

Vendor must follow rules of the Arkansas Department of Health. 
Vendor is liable for all sales taxes. 

In the event of rain or other circumstances beyond the control of man, no refund will be given. However, should the Hope Watermelon Festival be canceled by arbitrary action of the Hope-Hempstead County Chamber of Commerce, a refund may occur. 

Any refund requests must be made in writing or not guaranteed

Set Up Information
Check In/Vendor Setup: 
Wednesday, August 7th from 8am-6pm 
Thursday, August 8th from 8am-11am

Vendors not set up and ready to open by Thursday at 11am forfeit their space and no refund will be          granted.

All vendor representatives should report to the festival office in the coliseum to receive their vendor packet and will be directed to their assigned space. 

The Hope-Hempstead County Chamber of Commerce retains the right to change the location of vendor spaces for unavoidable reasons.  

Vendors are responsible for all personal setup requirements (tables, chairs, etc.) There are no amenities available to rent or borrow. 

SMOKING IN COVERED OR INSIDE AREAS IS PROHIBITED. 

Parking 
Parking passes will be included in all vendor packets
Additional parking passes will be available upon request
Only parking passes provided by the Hope-Hempstead County Chamber of Commerce will be accepted.

Vendors may park on the festival grounds during the above setup times ONLY. After 11am on Thursday August 8th, all vendors must be parked in general parking. 

Rules & Regulations
-Each vendor acknowledges their agreement to these rules and regulations by payment of space fee.
 
-Sharing  or subletting is not allowed and will result in forfeiture of booth for both parties

-The Hope Watermelon Festival reserves the right to reject any inappropriate work or display and to ask any vendor to leave who fails to meet the overall standards of the Festival.
 
-The Hope Watermelon Festival will provide limited 24-hour security, but cannot assume liability for damage, loss or theft of an individual's merchandise.
 
-The Hope-Hempstead County Chamber of Commerce reserves the right to place vendors where space is available.

-Anyone offering food samples (including dips), will need to adhere to the Arkansas Department of Health rules and regulations. 

-There will be an Inspector from the Arkansas Department of Health on site prior to the start of the festival.

The Hope-Hempstead County Chamber of Commerce reserves the right to terminate the operation of a vendor/concession at any time during the festival. The Chamber reserves the right to terminate the agreement should the vendor commit any act detrimental to the purpose of the Hope Watermelon Festival, fails to cooperate with the Chamber or breaking any laws pertaining to the use of the facilities.
