KWES PTO Elected Officers and Committee Volunteers

Consider serving on the board for a 1-year term or choose a committee of interest to you. Indicate if your willing to serve as a chair of a committee. Elected Board Officers

All elected positions are required to attend monthly Board meetings, General meetings, and assist with PTO functions.

President: (Effort: year-round, on-going)

  • Serve as leader and key contact for the PTO.
  • Preside over all PTO meetings.
  • Appoint chairpersons for special committees.
  • Coordinate the work of the officers and committees and work directly with the school principals to meet the PTO's objectives. ​

Vice President: (Effort: year-round, time varies depending on roles)

  • Act as an aide to the President.
  • Perform the duties of the President in the absence or inability of that officer to serve.
  • Ex-officio member of most committees.
  • Assume other responsibilities as assigned by the Executive Board.
  • Ideally willing to serve as President in the future. ​

Treasurer: (Effort: 4-5 hours per month, average)

  • Shall be responsible for and have custody of all funds.
  • Make disbursements as properly authorized.
  • Be present at all PTO events where money will be collected.
  • Assure that PTO policies and best practices are followed with regards to funds.
  • Prepare financial reports for each meeting, annual audit, and as needed. ​

Recording Secretary: (Effort: 4-5 hours per month, average includes attending meetings and typing up minutes)

  • Keep the minutes of all general meetings and all meetings of the Executive Board.
  • Present minutes at each meeting for approval.
  • Provide approved minutes to Corresponding Secretary for posting on PTO website.
  • Provide support in writing thank you letters and other correspondence in tandem with Corresponding Secretary, as needed.
  • Help recruit committee chairpersons for all vacant standing committees of the board.

Corresponding Secretary: (Effort: 4-5 hours per month, average)

  • Prepare correspondences, write thank you notes.
  • Keep minutes for meeting in Recording Secretary's absence.
  • Maintain PTO website, Facebook, and Instagram accounts.
  • Keep the calendar of events for the PTO and ensure it is shared appropriately.  
  • Draft PTO updates for weekly Sea Lion Splash (school-wide email).
  • Draft PTO promos for school marquee sign
  • Assist in writing and reviewing monthly PTO newsletters.
  • Monitor and respond to PTO emails.

In addition to each chairs’ specific committee responsibilities, he/she will: Prepare a brief report and present at PTO General Meeting (bi-monthly on the 3rd Tuesday of the month) and maintain a file to be given to successor. 
Committee Descriptions
Community Partnerships Committee: (Effort: 1-2 hours per month, varies depending on the program, peaks for Wilson Walk)  
  • Oversee and coordinate community opportunities for financial support of Kyle Wilson PTO. 
  • Work with the PTO Executive Board to plan the Kyle R. Wilson Walk for Fitness (April 2024).
  • Work with PTO treasurer for any financial, budgeting, and purchasing needs.
  • Create informational flyers and letters explaining opportunities to support our school. 
  • Share approved flyers with PTO corresponding secretary for web and social media postings and with PTO president for school distribution. Assist in copying flyers for distribution approved.

Event Specific Committees: (Effort: varies, year-round)  
  • Oversee and coordinate an event in support of the Kyle Wilson PTO.
  • Events may include Bingo Nights, Movie Night, Giving Tree, Pancake Breakfast/Vendor Fair, etc.
  • Committee members help with seeking donations, set-up, clean-up, and other duties for a successful event.
  • Work with PTO treasurer for any financial, budgeting, and purchasing needs.
  • Create informational flyers and letters explaining opportunities to support our school.
  • Share approved flyers with PTO corresponding secretary for web and social media postings and with PTO president for school distribution. Assist in copying flyers for distribution once approved.
Financial Audit: (Effort: varies, 3-4 weeks in June/July)  
Audit financial records of the PTO and prepare a year-end audit report with the help of the committee. Committee includes up to three (3) PTO members that do not currently serve on the PTO Executive Board.

Hospitality/Staff Appreciation Committee: (Effort: 2-4 hours per month, peak in May depending on planned activities)  
  • Oversee and coordinate activities for staff appreciation, including lounge supplies, Staff Appreciation Week (May 2024), and a staff holiday cookie exchange (December 2023).
  • Committee members help with seeking donations, set-up, clean-up, and other duties for a successful event.
  • Work with PTO treasurer for any financial, budgeting, and purchasing needs.
Membership Committee: (Effort: 1-2 hours per month, peaks in August/September with Back-to-School events)  
  • Create and implement a membership drive plan to promote membership throughout the year.
  • Work with the PTO Executive Board to set attainable membership goals for the year.
  • Work with PTO treasurer to collect membership dues.
  • Maintain a list of members, updating as new members are enrolled. Provide copies to PTO treasurer and corresponding secretary for recordkeeping purposes.
Nominating Committee: (Effort: 2-3 hours in April/May)
  • Publicize PTO positions and recruit volunteers to fill open Executive Board positions for the upcoming school year.
  • Work with the PTO Executive Board and committee chairs to prepare list of nominees to be included on the annual election ballot at May 2024 PTO meeting. This list shall be completed and publicized to all PTO members at April meeting.
Spirit Nights Committee: (Effort: 2-3 hours per month)
  • Oversee and coordinate spirit nights for the year in coordination with PTO executive board.
  • Share approved flyers with PTO corresponding secretary for web and social media postings and with PTO president for school distribution. Assist in copying flyers for distribution once approved.
Spirit Wear Committee: (Efforts varies. Peak sales are in August/September and March)  
  • Oversee and coordinate spirit wear options with approval of the PTO Executive Board.
  • Work with PTO treasurer for any financial, budgeting, and purchasing needs.
  • Create informative flyers or order forms for distribution and sharing. 
  • Share approved flyers with PTO corresponding secretary for web and social media postings and with PTO president for school distribution. Assist in copying flyers for distribution once approved.
  • Sort and distribute orders upon fulfillment.

Volunteer Committee: (Effort: ongoing, year-round; time peaks with bigger events. Average: 3 hours per month; could be more during major events.)  
  • Oversee and coordinate the activities of PTO volunteers.
  • Recruit and maintain a list of volunteers for PTO's committees, fundraisers, and events. 
  • Create sign-ups outlining needs for distribution and sharing. 
  • Coordinate and share opportunities with PTO corresponding secretary for web and social media postings. 
  • Organize and oversee the work and activities of Hero Helpers to include copying, laminating, sorting, and other projects.
