Thank you for expressing interest in our 2nd Annual Hampton Roads Natural Hair & Wellness Expo. We appreciate your enthusiasm and look forward to the possibility of having you participate.

******Please note that completing the registration process doesn't reserve your vendor space. This is a Prospective Vendor Registration only. Official vendor status is confirmed only upon receipt of payment. We have limited slots available per category, and once filled, we will notify you promptly via email if payment has not been received. Slots are expected to fill quickly.

Important Information:

  • This venue does not permit Beverage Vendors.
  • Food Vendors selling cooked food for immediate consumption, such as Dinner/Lunch/Brunch types (Burgers, Fries, Sandwiches, Deli, Restaurant Food, etc.), are not allowed at this venue. For any inquiries, please contact us via email at zdessentials@gmail.com

Vendors are not official vendors until payment is received.  In the event that vendor booths sells out before your payment is received you will receive an email advising that we no longer have vendor spaces available.

This agreement constitutes an understanding between Hampton Roads Natural Hair Expo (referred to as the "Host") and the Vendor.

PAPARAZZI HAS BEEN CONFIRMED

The Host is organizing the Hampton Roads Natural Hair & Wellness Expo, scheduled to take place at the Holiday Inn Norfolk/Virginia Beach, located at 5655 Greenwich Road, Virginia Beach, VA, on 5/19/23, beginning at 1:00 PM.

The Vendor wishes to vend at and during the above-mentioned Event, with the intention of submitting full payment to the Event Host for the vending space. Both the Host and Vendor parties mutually agree to the following terms:

Vendors will be granted access to the agreed-upon location by both parties, at least 2 hours before the Event commences, to set up the Vendor’s station, merchandise, and any other items necessary and customary for vending at that specific location.

The Vendor is prohibited from selling any items or services that have not been disclosed to the Hampton Roads Natural Hair Expo at the Event without prior written consent from the Host. Please note that the venue does not permit the serving of meals or the sale or drinks for consumption. For any inquiries on this matter, please contact us.

Vendors, please carefully read the following:

The Booth Options available are as follows:

Info 6ft Booth $150

Retail Booth 6ft Table $250

Retail Booth 12ft $500
****These are (2) combined tables to give you a total of 12ft of table space.  

Rearranging the table layouts is not allowed on the day of the function.

Note: Our vendor booth options are not 6x6, 8x8, 10x10, or 12x12 spaces. Each booth will have enough space for chairs, signage, and staff. Anything outside the offered options above constitutes a custom booth space with a different Vendor Price.

Fashion Vendors/Vendors with setups beyond a table booth space:

We know Fashion Vendors & Other Large Vendors most likely will have racks or other displays, that exceed the table. Please make sure you are registering for the correct Vendor Option which is the Custom booth option.

Registering for a 6 ft table booth with the intention of having additional racks outside the allocated space is not permitted.

Important: Tables are arranged for venue logistical purposes, and no outside tables or additional decor that occupies space beyond the designated area are allowed unless approved. The hotel provides the tables for our vendors.

Bringing your own table in addition to the tables offered to have "extra space" is not allowed. If this is your intention or desire their will be an additional charge for the feet space your approved table takes up.

Displays should not extend outside of the designated space provided. For example, racks, displays, etc., cannot extend beyond the Vendor Space. Prices may vary, and we will customize a booth space to accommodate you. Please email us with your setup details after your confirmation email is accepted.

For safety reasons outside extension cords are not allowed at this venue. Electricity cost for vendors is $25. Adding on Electricity would grant your both your own extension cord specifically for your space. This is optional.

Vendor’s staff may exhibit that goods are for sale only while the staff is within the area of the vendor’s specified location.

Vendor’s staff will be properly dressed, and their appearance will be clean and neat and they shall conduct themselves in an orderly fashion.

There is to be no loud distracting music, noise, and or sound amplification devices used by Vendor’s staff at the above-mentioned Event.

Vendor will have access to the location for up to 1 hour following the Event has concluded at 9:00 PM to dismantle and remove all items brought to the Event by Vendor. Vendor shall leave the location free from trash and in similar condition that it was in before the Vendor was there. 

Vendor agrees to hold the Host free from any damages or claims that may develop in connection with participating in the above-mentioned Event.

Vendors may cancel by March 31, 2024 and receive a 50% Refund. Any cancellations after this date we will issue a event credit to transfer over to 2024 Expo.

Vendor agrees to not interfere with the visibility of other exhibitors next to the vendor booth.  Displays should not extend outside of the designated space provided.

All exits and paths must be kept clear and free of obstructions. Vendors must abide with Health & Safety Regulations while on event premises.

Hampton Roads Natural Hair Expo has no liability for the safety or security of any loss, or damage or of property.

Some vendors bring their own table cloth for branding colors & logo.  If you will be providing your own table cloth please select yes.  If selected no we will provide a standard black tablecloth for your booth.
