Welcome to the 2024 William Mason High School Marching Band! The band is fresh off a spectacular showing at the 2023 BOA Grand Nationals and Rose Parade, and I am excited for all of the opportunities we have planned for 2024. Marching Band continues to be a place where students can push themselves to be the best they can be, not only from a performance standpoint, but from a character standpoint as well, all while spending time with their friends and creating life long friendships and memories. We look forward to building an amazing 2024 season!

ATTENDANCE COMMITMENT
You and Your Student Agree to:
Attend and participate in all rehearsals, camps, activities, and events during the summer and fall Marching Band season unless excused by a Director.

1. Attend Mini Band Camp June 3, 4, 5, 6, 7

2. Attend Section Camps if applicable:
         Guard Camp and Percussion Camp: June 17, 18, 19, 20, 21

3. Attend Summer Band Camp:
         Week 1: July 22, 23, 24, 25, 26
         Week 2: July 29, 30, 31, Aug 1, 2
         Week 3: Aug 5, 6, 7, 8, 9

4. Attend Tag Day on August 3.

5. Attend Post Band Camp rehearsals the week of August 12.

6. Attend all scheduled after-school and Saturday rehearsals & band camps during Marching Band season. The typical rehearsal schedule is below. While this is the "typical" weekly schedule, it is subject to change! The calendar at MasonBands.com is the best place to stay up-to-date with schedule adjustments.

7. Attend all scheduled performances, parades, football games, and competitions during Marching Band season.

8. The student will not leave the grounds during rehearsals, camps, or events for any reason without the express permission of a director, and the student will be picked up and/or depart the grounds in a timely manner at the conclusion.

ABSENCE CLASSIFICATION POLICY

Attendance is a vital component of a successful marching band program. Absences, no matter the reason, have a negative impact on the achievement and environment of the entire group. The goal of the absence classification policy is to ensure student safety by logging their whereabouts when the band is responsible, promote time appropriate student/parent to Director communication, exercise understanding and grace with conflicts, and promote a high attendance rate to ensure the success of the entire organization.

Marching Band is a co-curricular class, and attendance is a portion of the grade for the class. An Absence is anytime a student is not physically present at a scheduled rehearsal time. This includes a student not being present for a portion of rehearsal (Tardy or Leaving Early) as well as not being present for an entire rehearsal. All absences are classified as Excused or Unexcused.  Excused absences are approved by a Director and do not have a negative impact on a student’s grade. Unexcused absences may result in the student losing a portion or all points for that day, being removed from their dot in the show, being removed from a leadership position, and/or not being allowed to participate in upcoming performances, competitions, football games, activities, and/or events.

Below provides some examples of Excused and Unexcused absences. This is not an exhaustive list, and special circumstances may change the classification of a certain conflict. Potential Unexcused Absences are dealt with on a case-by-case basis, and exceptions can be warranted and must be approved by a Director.

Excused Absence Examples: Illness, conflicts approved by a Director, death in the family, private lessons.
Unexcused Absences Examples: Absent with no communication, work, birthday dinners, fall vacations, family gatherings, and concerts.

The student/family will communicate known absences at least 2 weeks in advance and report absence due to illness prior to rehearsal.

FINANCIAL AGREEMENT
You and Your Student Agree to:
1. Accept full responsibility for the total fees associated with the marching band program in the range of $2330-$2665. This includes the MCS MB School Fee of $1200, a Student Experience Fee of $950**, and a Consumable Fee* which varies per student between $180-$515. All fees are required for participation in the Marching Band.

2. Submit all payments on time according to the payment schedule. EZPay is the preferred method of payment for "MCS MB SCHOOL FEES," but you can submit a check payable to Mason City Schools. Checks must include your student's name and student ID number for accurate processing. No cash will be accepted. The "STUDENT EXPERIENCE FEES" and "CONSUMABLE FEES" will be paid to the Mason Band Boosters via Jotform or via check made out to Mason Band Boosters.

*The amount due for Consumable Fee varies by student. Families are required to complete the Consumable Fee Jot Form to select/pay for their consumable items by May 1. This fee range is between $180-$515 depending on the items you need. New students will be on the high end. Veteran students (who already have these items) will be on the lower end.

**The amount for MB Student Experience Fee 3 at $150 is currently tentative. This is our current best projection. This amount will be finalized as costs for our travel become finalized in the late spring and summer. A communication will be sent in the fall informing everyone of the finalized cost.

3. Refund Policy. In order to qualify for a refund, the Marching Band Drop Form must be completed indicating the date of drop decision. Based on the timestamp in the MB Drop Form, the student will be eligible for refunds as follows:
          $200 of School Fee 1 is non-refundable
          $200 of School Fee 1 and all $400 of School Fee 2 are refundable until 11:59pm Monday, June 10th, 2024.
          Student Experience Fee 1 is refundable until 11:59pm Monday, June 10th, 2024.
          Student Experience Fee 2 and 3 and School Fee 3 are non-refundable.
          The Consumable Fee is partially refundable for items not yet ordered for your student.
             (determined by the time stamp of the Drop Form and review of items already ordered)

4. Indicate intent in applying for need-based financial assistance by answering the question below. Families who answer 'yes' will receive information about the financial assistance process. Documentation of financial hardship will need to be submitted with your application to be considered for financial support.  Families must complete the financial assistance application to receive assistance.

5. Purchase or rent necessary items (e.g. $100 rental fee for school owned instruments) as needed. Maintain rented items in like-new condition and repair/replace rented items damaged in your care. The Band Directors will share information on instruments in the spring.

PARENT VOLUNTEER AGREEMENT
You, the Parent/Guardian, are expected to:
1. Volunteer for a minimum of one shift (3-4 hrs in length) at both marching band competitions hosted by Mason (the MSBA Mason Invitational on October 12 and the MSBA Championships on November 9). These competitions play a significant role in fund raising for the program and help cover some of the participation costs, lowering fees for all families. We need all families to help in some way, so plan to volunteer on these big days.

2. Volunteer a minimum of six volunteer shifts (~3-4 hr in length) throughout the school year. There are many ways to volunteer such as:

   a. Helping 'Feed the Band' by serving a meal provided by one of our sponsors during a rehearsal or before a football game
   b. Volunteering to help during one of our fundraising events such as Tag Day, Car Raffle, Flower Sale, etc
   c  Serving as a Chaperone to help care for student health & well-being during rehearsals, camps, games, and competitions
   d. Volunteering to support the Pit Crew to create/support management of props and equipment
   e. Helping with the uniform crew at a uniform fitting or by washing uniforms
   f. Volunteering at other booster events such as Cincinnati Regional Concert Band Festival or MidEast Performance         Association's winter guard competition at Mason.
   g. Etc, etc, etc! There are so many ways to volunteer, everyone can find a unique way they enjoy to volunteer that fits your schedule

REGISTRATION & DATA USE
You and Your Student Agree to:
1. Complete/verify database Registration for the student and at least one parent/guardian. Database registration is due by May 1. (instructions to will be shared in our Registration Guide). Charms is being phased out, so this will be a new system this year. 

2. Complete the Health & Well-Being google form by May 1 to ensure important information about student emotional, mental, & physical health and medication needs are shared. (instructions to will be shared in our Registration Guide)

3. Complete Final Forms online registration by May 1. (instructions to will be shared in our Registration Guide)

4. Maintain a current student physical in Final Forms as of May 1, 2024 and throughout the season. (instructions to will be shared in our Registration Guide)

5. The understanding that Mason Band Staff, Mason Band Booster Board/Committee Chairpersons and Band Aid Chaperones will have access to the parent and student data in these systems as needed to reasonably conduct business and manage student care for the Marching Band.
