Dear fellow Josephians,

Some old boys have questioned why the updating of membership information should require the collection of the first 5 characters of HKID.  We understand your concerns.  Collecting the HKID first 5 characters is for the sole purpose of voting in OBA ExCom election / Alumni Manager election.  The practice of collecting such information has been adopted for a few years when our old boys applied for OBA membership.

As there may be a need for proxy and even e-voting, OBA needs this unique ID to verify the voter identity and to safeguard every voter’s interest if we vote by proxy.  Of course, for in person voting, HKID check on-the-spot is still necessary.  This HKID first 5 characters is considered to be the minimal information OBA needs and at the same time the least intrusion to the personal privacy information.  This has been thoroughly discussed among our ExCom members with legal input.

We understand the concern of our members.  Not only for this year due to the epidemic, but also for the future, proxy and e-voting will be indispensable in a contested election.  Last but not least, you are always welcome and encouraged to vote in person at the AGM.

PRIVACY POLICY STATEMENT
Saint Joseph's College Old Boy's Association (known as the "SJCOBA") are committed to comply with the requirements of the Personal Data (Privacy) Ordinance (Cap.486) in the dissemination and management of the data collected, either electronically or in hard copy format, from the old boys and friends of SJCOBA.  The SJCOBA shall ensure all their committee members and staffs to comply with the strictest standards of confidentiality and security and the data will not be disclosed to any third parties outside the SJCOBA.  From the day the data are collected, these will be held and/or transferred to different departments and/or administrative units within the SJCOBA as management information to facilitate verifications, communications, planning and operations.
