Chair Roles & Responsibilities
Showcasing Event Chairs develop and manage the design/concept of a Catersource + The Special Event Showcasing Event. This includes the responsibility for the development and coordination of the event from concept all the way through to on-site execution. The main purpose of the Showcasing Event is to provide show attendees with an experiential learning opportunity where they can see new event trends, ideas and design in action.
Roles & Responsibilities:
• Provide input and feedback on Showcasing Event venue selection.
• Develop the overall event design and concept; and fully execute the Showcasing Event.
• Will not exceed the given budget guidelines provided by Informa. Chairperson will NOT be reimbursed for expenses beyond provided budget unless pre-approved in writing for such additional expenses by Informa.
• Will provide Informa with any associated invoices or expenses within a timely manner.
• Work with Informa to adhere to all show policies, procedures and event standards.
• Adhere to event production timeline and deadlines set forth and communicated by Informa.
• Coordinate with Informa on outreach for sponsored products/services required to support event concept.
• Execute all elements of the event, including décor, entertainment, staging, audio, lighting, floral, production, power, etc., as well as any permitting or union labor if applicable.
• Attend all in-person Chair meetings (locally to event), as well as participate in regularly scheduled status/planning conference calls related to your Showcasing event.
• Recruit committee members to help manage the event and help secure sponsorships.
• Communicate regularly with Informa on progress of the event and adhere to deadlines for material, budget, check requests, creation/ revisions of site diagram, timeline/production schedule and overall event management.
• Develop and communicate an onsite staffing need for event for Hands on Hundred volunteer worker program, scheduling as per deadline communicated.
• Develop a detailed onsite production schedule for all parties involved in your Showcasing event and communicate appropriately.
• Chairs are responsible for their own expenses of travel, hotel, meals and ground transportation, but may budget for expenses for shipping and other miscellaneous office expenses incurred during this position.
