Hello and thank you for your interest in joining the Hawks PTO Board of Directors!
The Hawks PTO Board is the driving force behind everything we do. Whether it is events, teacher appreciation, community building, fundraising or establishing partnerships with local businesses, the Hawks PTO Board makes it happen.
Our Nominating Committee will review all submissions and create a slate of officers for election. Any information you enter into this secure form will only be seen by the Nominating Committee and never shared or passed onto any 3rd party. The Nominating Committee will be accepting nominations until 11:59pm on May 3rd.
So you know what you are getting into, we have included duties for all positions below. Some may seem like a lot of duties, but not to worry, we have experience on the Board and will help any new Board members as they get comfortable in their roles. We are also asking for some information on past experience with non-profits/community organizations. One of our Nominating Committee members may reach out to you via your preferred contact method if we have additional questions. Included in the positions are if a current Board member is running again or if it is an open position. Anyone is free to nominate themselves for any position, does not matter if another Board member is running, we would like to try and fill open positions as well.
If any of the positions below are not a good fit for you, there is also an option to show interest in joining one of our Committees that will be created for next year (Events, Fundraising), so that is also an option!
For all positions, the availability for attending (in person or virtually) the monthly PTO meeting at Hammock Pointe (2nd Wed of the month at 2:30pm) is a requirement.
President Duties: (Incumbent running again)
- Preside at general PTO and Board of Director meetings
- Serve as primary PTO contact for the Principal of Hammock Pointe Elementary School
- Represent the PTO at meetings outside the PTO
- Serve as ex officio member of all committees as they may exist except the nominating committee
- Coordinate work of all the officers and committees so that the purpose of the PTO is served
- Work with Treasurer to file yearly business registration with State of Florida
- Work with Treasurer to file yearly report as required by IRS for 501(c)3 corporations.
- Handle all other duties defined and assigned in Robert’s Rules of Order Revised
Vice President of Events Duties: (OPEN, previous officer retiring)
- Have responsibility for coordinating all events that the PTO votes to enact.
- Work with President on any contracts/agreements needed for event
- Work with Vice President of Membership and Volunteers to communicate volunteer needs for specific events
- Chair Events Committee if one such exists
- Report to full Board at regular meetings on Event Planning
Vice President of Membership and Volunteers: (Incumbent running again)
- Plan yearly membership drive for the PTO
- Coordinate, track and update membership list and keep in a centralized online location accessible by all Board Members.
- Work with Vice President of Events to coordinate volunteers for PTO events
- Chair the Membership and/or Volunteer Committee if such exists
- Work with Board to expand pool of volunteers via website, email and/or events.
- Assume School District role of Hammock Pointe Volunteer Coordinator with all responsibilities and duties assigned to that role.
- Report to full Board at regular meetings on Membership amounts and Volunteer updates
Vice President of Fundraising: (Strong Candidate identified)
- Have responsibility to develop fundraising partnerships between the PTO and local businesses.
- Have responsibility to draft any agreements between PTO and outside entities for fundraising purposes and send to President for signature.
- Chair the Fundraising Committee if one such exists
- Have responsibility to produce and disseminate any flyers for fundraising that either the school or PTO has organized.
- Report to full Board at regular meetings on fundraising partnership opportunities and present into record any agreements that may have been finalized so that they can be archived by the Secretary.
Secretary: (Strong Candidate Identified)
- Keep a record, known as the minutes, of all proceedings of the PTO
- Carry on all necessary correspondence of the PTO
- Have responsibility for coordinating production of flyers or other promotional materials for events as defined by the Board or Events Committee. The Secretary is only responsible for providing the flyers/content, not necessarily creating the content. The Secretary may use other resources to produce flyers/content; for example parents or other Board/Committee members that have access to software and/or expertise in graphic design.
- Keep all records of the organization, in a centralized online location accessible by all Board members.
- Report to full Board at regular meetings on minutes and any other records updates
Treasurer: (OPEN)
- Receive and keep account of all monies of the PTO
- Keep an accurate record of receipts and expenditures, using tools that are located online and accessible by Board of Directors.
- Disburse funds in accordance with approval of Board of Directors and PTO policies.
- Work with Board of Directors to file yearly tax returns with IRS.
- Report to full Board at regular meetings on financial matters, provide monthly financial report showing all receipts and expenditures and provide monthly bank statements.
