"Vegan Picnic" - Food & Drink & Retail Stall Holder Application (Sunday 10 Dec 2023)
Thank you for your interest in holding a food/ drink or retail stall at Vegan Picnic!  Vegan Picnic will be open to the public on Sunday 10 December from 11am - 5pm in the city centre to celebrate a Cruelty Free Christmas.

"Vegan Picnic! Let's Graze!"

With the increasing success of Vegan Festival Adelaide held in October each year, the demand for vegan events in Adelaide is rising. To meet this demand Vegan Picnic was created and as a smaller, food focussed event for the ever growing vegan community and vegan curious to celebrate and enjoy delectable local vegan food and drink. This is an opportunity to get your delicious vegan food & products into the hearts and minds of our state.

This fabulous outdoor event will have an easy set up at stall spaces, and we encourage you to bring your own marquees, tables etc. Standard stall spaces are 3x3m. Bring your own gear to give your business its individual look. If hire items are required, we can chat about this with you!

Food stalls will be REQUIRED to produce tasting plate options (around $6 value) to encourage more of the public to try different vegan foods.

Alcoholic products are NOT allowed at Vegan Picnic. This is a Food & Drink event with space for some fab vegan products & charities. We are saving all the other things vegan for the Vegan Festival Adelaide next year.

We realise that this form may take up to 15 minutes to complete but experience has shown us that this much better than sending you 15 different emails asking for information! Please note, bump in and bump out will all occur on the day of the event.

Previous Stall Holders - We have GOOD News!  To simplify forms to our long standing loyal vegan stalls, we have added in some options below that will allow you to skip sections IF your offerings and requirements are the same as previous years! This means the form will only take 5 mins! Leaving you more time to promote your appearance with us! Or make more products for sale on the day!!

If your application is accepted, this form will act as the CONTRACT for your participation at the event. As such you will be required to promote the event a minimum of 5 times in the lead up to the event.

Please read the following information carefully before applying.
Your application will be evaluated by the Vegan Picnic committee. The form must be completed in full for your application to be considered. This includes providing all relevant supporting documents.

To complete this application you will need to:
- Provide your Business details (including your ABN / ACN / ACNC number, if applicable)
- Give an ~150 word or less description of your food/drink
- Outline your infrastructure requirements
- Detail any electricity or cool room needs
- Supply your insurance details
- Agree to the regulations, policies, and protocols of Vegan Picnic, City of Adelaide,  
- Provide your marketing details (including an ~150 word or less biography of your business/stall)

Supporting Documents
 Below is a list of all the documents that will be requested during your application:
- a print ready (high quality) version of your company logo & promotional image of your product
- a copy of your valid $20 million public liability insurance
- a copy of your valid product liability insurance certificate
 
* Documents can be uploaded during completion of this form. Upload instructions will be provided when a document is required.
* In the case of insurance certificates, where insurance valid for the Vegan Palooza event may not be currently available, the expiry date of current insurance policies and/or an acknowledgement that new insurance must be purchased is sufficient for this application.

Sponsor the Vegan Picnic event and get:

- A single stall space
- Monthly recognition on the event Facebook page
- Monthly promotion on the Vegan Festival Adelaide Instagram page (5,700 followers)
- Your logo on the Vegan Festival website (medium sized)
- Your logo on event signage (small sized)

Please note:

- All  stall holders MUST commit to the full trading times, Sunday 10 Dec 11am-5pm
- Set up Sunday 10 Dec  7.30am-11.00am
- Full pack down by Sunday evening 10 Dec    - items cannot remain on site after 10pm
- Any Excuse...Event Styling & Planning, who operate Vegan Picnic,  reserves the right to accept/deny any application - All decisions are final
- Your details will be shared with the local Council
- COOKING with oil, live flames or gas are will need approval for this site. Electrical appliances will need tag and tested.
-  if your stall is not on a pathway, you will have 1.5m behind your stall space for storage. please keep tidy.
- you will be required to promote the event a minimum of 5 times in the lead up to the event.
- if payment is not made by the due date you will be removed from the event to allow another business to take your place and not miss out on this great opportunity. We always have long waitlists for places at our events. Please contact us if you wish to discuss
- If the event is cancelled due to COVID19 reasons, a refund minus $25 admin fee will be given

Additional costs may be incurred depending on infrastructure requirements. *Our stall fees have stayed the same for years as we bring this event together to showcase businesses, promote veganism & bring the community together !
Key dates
* Applications must be lodged by 1 Oct 2023
* Decisions on accepted stalls will be announced 18 Oct 2023
* Full Payments must be made by 10 Nov to be included in the 2023 event
* Amendments can be made to your application up until 30 Nov 2023
