Guidelines
1. No eating or drinking is permitted in the Archives and Special Collections reading room. Only pencils may be used.

2. Please place personal property, including coats, briefcases, bags, backpacks and purses in a designated locker. Only material needed for research, such as pencils, paper, research notes, cell phones and laptop computers will be allowed to rest on the tabletops while materials are being used. Anything brought into the reading room is subject to inspection upon leaving. The Archives is not responsible for lost or stolen items.

3.The use of personal scanners is not permitted in the Archives unless approved by the Coordinator of Archives and Special Collections or the Archives Associate.

4. Use of materials may be restricted by the donors, transferring office or Coordinator of Archives and Special Collections. The Archives reserves the right to restrict the use of fragile materials and of collections not yet processed.  

5. Researchers may not remove materials from the reading room. All materials must be accounted for before the researcher leaves the reading room. Theft or mutilation of archival documents is a crime, which may lead to prosecution.

6. Researchers must keep the papers within a collection in the order in which they are presented. Keep material flat on the tabletop -- do not hold items in your hands. Request book props to hold materials at a more comfortable viewing angle. Do not lay any objects on top of materials.

7. When viewing un-sleeved photographs or negatives, researchers will be required to wear cotton gloves.

8. Reproduction of any materials must be approved by the Coordinator of Archives and Special Collections or the Archives Associate. Researchers will need to complete a "Copy Request" form to begin the process. The "Copy Request" form and duplication fees are available on our website.

9. Photocopies and scans cannot be made upon demand. Copies and scans will be made when staff time allows and mailed to the user upon payment.    

10. Collections cannot be photocopied or digitized in their entirety. Copies of material are made for private study, scholarship or research use only. They may not be published or reproduced in any fashion without written permission from the DePauw University Archives and Special Collections. If publishing, exhibiting or uploading any material from the collection, please complete a "Request to Publish or Quote" form available on our website.
