2023-24 Running Club Volunteer Form
Altamont Creek Running Club needs YOU!!

Running Club is looking for parent volunteers to commit to helping with this program for the new school year.

Running Club will meet from September through May
We meet each week on Tuesdays and Thursdays from 8am-8:20am

EZ Scan Program: We use the EZ Scan system to safely track students laps. As runners complete laps, they scan their QR code on a tablet or volunteers smart phone to track their progress. The data is automatically synced once the device is on WiFi.

In order to volunteer on a school campus the Livermore school district has 2 requirements:

1. Current Background Check: (Must be done two weeks in advance)
Each year LVJUSD requires volunteers to update their volunteer information, including Background Check the Livermore PD. The school has the latest form requirements, please contact the front desk staff. 

2. Proof of Up to Date TB Test Results: (Must be done 72 hours in advance)
This test can be administered by your healthcare provider and takes 48-72 hours to confirm results. Once you have the results you will need to turn them into the school front office.

Where we need volunteers:
If you are only able to help on certain days (such as only Tuesdays), that is ok!

Co-Coordinator:
   - Help with all things Running Club :-)
   - Communication liaison between Principal, PTA, Parents and students
   - Find Volunteers and delegate tasks

Set-up:
   - 1 person per day
   - Needed at 7:45am, Tues & Thur to set up and have everything ready by 8am start
   - Get out Running Club storage bin and set up the cones, signs, QR Code box, sticks (for kids that want
     to hold sticks while they run), clipboard, etc.
   - If we get at least 3 volunteers, you only  have to do it once a week

Scan QR Codes:
   - 2-4 people per day
   - Needed at 8-8:20am, Tues & Thur
   - Use your smart phone or tablet to download EZ Scan app, then scan student QR codes as students complete laps, cheer on
     and encourage students. Also, at least one person to hand out sticks for those that forgot their cards and to write laps at end
    of RC on clipboard.
**The first two weeks of Running Club we will need as much help as we can!

Clean-up:
   - 1-2 people per day
   - Needed at 8:20-8:27am, Tues & Thur
   - Put away the cones, signs, sticks (for kids that want to hold sticks while they run), etc. and put storage bin away
   - If we get at least 2 volunteers, you only  have to do it once a week

Special Charm Distribution:
   - 5+ people
   - Needed at  8:15-8:27am, once a month
   - Anyone that participates in Running Club this day will receive a Special Charm of the month! It will be
     distributed by volunteers after Running Club ends.

Foot Distribution:
   - 1-2 people per day
   - Needed at 11:45am-1:15pm during all three lunch recess times
   - Once a month:
   - During lunch recess, students will receive a foot charm for every 5 laps you have earned. A double foot
     charm is given for 10 laps. A chain necklace will be given at the first Distribution Day (or the first time a student picks up their
     charms).

Print QR Codes:
  - Once a week print out QR codes for those that are missing, scratched/unscannable, or new registers
  - Put in the folder box in front of the main gate to the black top on Friday mornings
  - Need access to a printer that can print on standard Avery labels (labels and plastic cards will be provided by Running Club)

Data Entry:
  - Manually enter laps for students that did not have a QR code card and collected sticks
  - Complete once a week, especially by Thursday afternoon on Foot Charm pick up weeks

Please note that Running Club will not start until the beginning of September to allow class placement and QR Codes to be generated. Volunteer will be contacted with the schedule after school starts.
