COVID-19: Information and Training for Employees Returning to Work
COVID-19 has created a need for businesses and organizations across the world to alter their operations. SUNY Geneseo is instituting a series of new policies and procedures designed to combat COVID-19. These changes are being made to follow guidance from the Centers for Disease Control and Prevention (CDC), the New York State Department of Health, New York State Executive Orders, Livingston County, SUNY System Administration and SUNY Geneseo. Most importantly, they’ve been implemented to protect the health and safety of the College community. As the situation evolves, there will likely be a number of new initiatives and protocols we will have to follow. That information will be communicated as it becomes available.

This document is to provide you with a basic snapshot of initiatives and protocols that we will be following as you make your return to campus. These changes are effective immediately and will be in place for the foreseeable future. You are likely to receive other directives and similar guidance from individual departments based upon your functions. Your compliance with these directives is mandatory, as they will help keep you and our community safe.

Social Distancing
Keeping space between you and others is one of the best tools we have to avoid being exposed to the COVID-19 virus and slowing its spread. Since people can spread the virus before they know they are sick, it is important to stay away from others when possible, even if you have no symptoms. Social distancing is important for everyone, especially to help protect people who are at higher risk of getting very sick.

In accordance with the Governor’s Executive Order and CDC guidance, all employees are required to follow these social distancing practices to reduce community-wide transmission of COVID-19:

 Stay at least 6 feet (about 2 arms’ length) from other people at all time, unless safety of the core activity requires a shorter distance.
 If distance cannot be maintained at 6 feet, a face covering must be worn (ensuring mouth and nose are covered).
 Be prepared to put on a face covering if approached by another person who comes within 6 feet.
 The use of tight spaces, other than elevators and vehicles, by more than one individual at a time is prohibited unless all individuals are wearing face coverings.

Use of elevators and vehicles should be limited where possible. Limit the use of elevators to one individual at a time if everyone is not able to wear a face covering.  Those using vehicles are required to wear a face covering, unless there is one occupant (the driver) in the vehicle. You should also avoid touching the elevator buttons with your exposed hand/fingers, if possible. Wash your hands upon departing the elevator.

Groups and meetings
Convening in groups increases the risk of viral transmission. Where feasible, meetings should be held using ZOOM, Google Meets or by telephone. If meetings must be held in-person, they should be held in a room where social distance can be consistently maintained.

During your time on-site, you are encouraged to communicate with your colleagues and supervisors as needed by email, instant message, telephone or other available technology (e.g. ZOOM) rather than face-to-face.

Sharing of food and beverages is prohibited, employees are encouraged to observe social distancing while eating meals.

Caution should be used when utilizing restrooms to ensure 6 feet between individuals. If 6 feet between individuals cannot be maintained, when possible, consider waiting outside until distance can be ensured.

Employees are expected to follow all signage for pedestrian traffic flow for building entrances and exits, elevator usage, walkways, and similar common use areas.

Frequent Hand Washing and Personal Safety Practices
Employees should wash their hands often with soap and water for at least 20 seconds especially after you have been in a public place, or after blowing your nose, coughing, sneezing, or touching your face. If soap and water are not readily available, use a hand sanitizer that contains at least 60% alcohol. Cover all surfaces of your hands and rub them together until they feel dry. Avoid touching your eyes, nose, and mouth, and wash your hands after touching your face.

Good hand hygiene and avoiding touching your face are generally sufficient for non-healthcare environments.

Healthcare workers and others in high-risk areas should use gloves as part of PPE (Personal Protective Equipment), but according to the CDC, gloves are not necessary for general use and do not replace good hand hygiene. Washing your hands often is considered the best practice for common everyday tasks.

If you are in a private setting and do not have on your face covering, remember to always cover your mouth and nose with a tissue when you cough or sneeze or use the inside of your elbow. Then throw used tissues in the trash. Immediately wash your hands with soap and water for at least 20 seconds.

Cleaning/Disinfection
Maintaining a clean workplace will assist in minimizing risk to everyone in the community. Custodial teams will clean campus spaces based on CDC guidelines for disinfection and Health Department protocols. Facilities Management will also maintain hand-sanitizer stations at major building entrances, elevator stops and high-traffic areas.

Employees should limit the sharing of objects when possible. Employees should wipe down commonly used surfaces before and after use. This includes any shared-space location or equipment (e.g. copiers, printers, computers, coffee makers, etc.).

Employees may perform surface cleaning of high touch areas in their offices/work areas. Consideration should be given to minimizing objects on the desktop to facilitate regular disinfecting.

It is critical that all cleaning products used for cleaning/disinfection meet the Environmental Protection Agency’s criteria for use against COVID-19 and are appropriate for the surface.

Face Coverings
In accordance with Governor’s Executive Order, all employees are required to wear face coverings when others are present and social distance can’t be maintained, including walking in narrow hallways/stairwells where others travel, in elevators, entrances to and from classrooms, etc. Appropriate use of face coverings is critical in minimizing risks to others. You could spread COVID-19 to others even if you do not feel sick. Wearing a face covering is not a substitute for social distancing. Employees must always have a face cover readily available.

The following expectations pertain to requirements for face coverings:

Face coverings must be worn any time an employee comes within 6 feet of another person.
Employees must be prepared to don a face covering if another person unexpectedly comes within 6 feet.
Acceptable face coverings include, but are not limited to, cloth-based face coverings and disposable masks that cover both
       the mouth and nose.
Cloth, disposable, or other homemade face coverings are not acceptable for workplace activities that typically require a
       higher degree of protection due to the nature of the work – for those activities, N95 respirators or other PPE used under
       existing industry standards (e.g. OSHA) should continue to be used.
When you can maintain a distance of 6 feet in your workstation, a face covering can be removed.
The College must procure, fashion, or otherwise obtain face coverings and provide such coverings to all employees at no
       cost to the employee.
Employees may use their personally owned PPR if they abide by the minimum standards of protection for the specific
       activity.
Employees do not generally need to wear goggles or face shields as part of an activity on campus. However, in certain
       circumstances, employees may be required to do so based on the job they are performing.

Face covers must be cleaned or replaced after use and may not be shared. Use and care of face coverings:

 Wash your hands before putting on your face covering
 Put it over your nose and mouth and secure it under your chin
 Try to fit it snugly against the sides of your face
 Make sure you can breathe easily
 Don’t touch the face covering, and, if you do, wash your hands
 Face coverings should be properly laundered daily
 Face coverings should be replaced immediately if soiled, damaged (e.g. ripped, punctured) or visibly contaminated

Employees should report at the beginning of their shift with a proper face cover. If you are unable to wear a face cover for any reason, you must contact Human Resources at (585)-245-5616 prior to your return to work.
Covid-19 Symptom Monitoring
Staff must self-monitor for symptoms every day. You must be free of ANY symptoms potentially related to COVID-19 to be eligible to report to work. At this time, these symptoms include one or more of the following:

o Cough (new or worsening)
o Shortness of breath or difficulty breathing (new or worsening)
o Fever (greater than or equal to 100.0 degrees Fahrenheit)
o Fatigue
o Muscle or body aches (new or worsening)
o Headache (new or worsening)
o Chills
o Sore throat (new or worsening)
o New loss of taste or smell
o Congestion or runny nose
o Nausea or vomiting
o Diarrhea

If you have any symptoms you should not report to work, and you should also self-isolate, and contact your supervisor immediately.

If you have any of these symptoms while at work, you must immediately notify your supervisor for further instructions.

Employees are required to complete a screening process identifying if symptoms or exposure to COVID-19 has occurred.  The screening must be completed each day either prior to coming to work or within one-hour of arriving on campus.  The daily screening process helps the College track potential illness in order to contain and mitigate exposure to the best of our ability.

Look for emergency warning signs for COVID-19. If someone is showing any of these signs, seek emergency medical care immediately:

o Trouble breathing
o Persistent pain or pressure in the chest
o New confusion
o Inability to wake or stay awake
o Bluish lips or face

Call your medical provider for any other symptoms that are severe or concerning to you.

If you have been in contact with someone who is experiencing these symptoms or has tested positive for Covid-19 you should contact Human Resources at 245.5616 for further instructions.

Vulnerable Populations
According to the CDC, individuals with certain conditions may have a higher risk for COVID-19 infection. Those conditions may include:

 Older adults (aged 65 years and older)
 People with HIV
 Asthma (moderate-to-severe)
 Chronic lung disease
 Diabetes
 Serious heart conditions
 Chronic kidney disease being treated with dialysis
 Severe obesity
 Being immunocompromised

Visitor Protocol
If you have invited a visitor on campus for a one time business related reason/meeting, you are considered the Visit Coordinator.

Visitor Coordinators are responsible for providing their visitor(s) with the Visitor COVID Screening Questionnaire: https://www.geneseo.edu/sites/default/files/sites/hr/Forms/Visitor%20Questionnaire.docx for completion and signature. The Visit Coordinator must forward the completed form to HR the day of the visit. This form also can be found on the Human Resources webpage.

Additionally, the Visit Coordinator will communicate the requirements for face covering and social distancing to the visitor. If necessary, the Visit Coordinator will provide the visitor with a face covering for their visit.

Harassment and Discrimination
At Geneseo, we believe that all members of our community should be treated fairly—free from racial profiling and discrimination. More specifically, individuals wearing face coverings or masks should not be harassed, racially targeted, or made to feel unwelcome. In accordance with SUNY Geneseo’s Policy on Harassment & Discrimination, each individual has the right to work in a professional atmosphere that promotes equal employment opportunities and prohibits discriminatory practices, including harassment.
