Each year, Goshen Creek PTA must elect officer positions which, together, comprise the PTA's Executive Board. Officers assume duties at the end of the current school year and serve through the end of the following school year (June through May). To have a functioning PTA a President, Treasurer, and Secretary is required. Please consider taking on one of these leadership roles within the PTA to ensure our non-profit organization's continued service to the Goshen Creek Elementary community.

*The current President must consult with current 2022 -2023 Board Members (prior to accepting nominations for new positions) to seek a confirmation of their desire to continue serving in the same capacity.

Please select the Elected Positions that you would like to be considered for. All six (6) officers are members of the Executive Board and will attend all meetings of the PTA Executive Board and General Membership. *

President: Preside at all meetings of the association; Coordinate the work of the officers, chairs, and committees of the association; Oversee and coordinate all meetings; Set up programs and calendar of events; Serve as an ex-officio member of all committees except the nominating and financial reconciliation committees; Promote family and community involvement to build a sense of pride for our campus with events and various programs. Potential candidates for president should be comfortable speaking in public, diplomatic, well organized, and eager to work with different types of people to achieve the PTA mission - make every child’s potential a reality by engaging and empowering families and communities to advocate for all children.

1st Vice President of Programs and Fundraising: Aide-to-the-president; Assess members’ and students’ needs for programs; Identify potential programs and fundraisers and present information to the board; Work with board to determine amount of funds needed to meet annual goals; Oversee all PTA programs and fundraisers; Create and maintain relationships with local businesses and community partners to promote the PTA and our campus; Preside in the absence of the president.

2nd Vice President of Membership: Oversee all aspects of Membership; Increase membership through effective recruitment throughout the year; Recruit a Membership committee to help during membership drives and events; Coordinate PTA membership drives and events; Maintain the PTA membership roster; Distribute membership material; Submit paperwork for membership awards; Preside in the absence of the president.

Secretary: Record the minutes of all meetings of the association; Maintain all records of the PTA including, but not limited to, Records Retention Policy, Conflicts of Interest Policy, Reports from the board, Membership Roster, Calendar, etc; Responsible for meeting communications; Prepare notes of thanks as needed on behalf of the PTA.

Treasurer: Custodian of all funds of the association; Responsible for all financial aspects of the association and maintains an accurate detailed account of records including bank statements, receipts, budgets, monthly bank reconciliations, invoices, paid receipts and cancelled checks (if available) in accordance with the records retention policy; Make disbursements in accordance with the budget adopted by the association; Present a financial report, both written and verbal, at every meeting of the Local PTA; Complete and file all necessary tax documents. Potential candidates for treasurer should be comfortable recording financial transactions, committed to effective communication and transparency, well organized, detail oriented and diplomatic.)

Parliamentarian: Advise the executive board and members on matters of parliamentary procedure; Serve as a consultant, especially in a meeting where only the chair has the authority to rule on questions of order or to answer parliamentary inquiries.

Historian: Capture, assemble, and preserve record of activities and achievements of GCES PTA; Display and present a brief overview of PTA year at membership meeting near the end of the school year.

Hospitality Chair: Act as the official host of GCES PTA in creating welcoming and friendly atmosphere during PTA meetings and events; Present hospitality budget for approval at executive board meeting at start of the PTA year and monitor authorized budget; Coordinate teacher luncheons, teacher appreciation week, and other hospitality events as requested; Work with committee chairs/coordinators to organize and set up refreshments, food, decorations, registration, and greeters for PTA meetings and events as budget allows; Recruit a volunteer hospitality committee; Maintain hospitality supplies and equipment and updated inventory; Keep records of all purchases, receipts, and donations; Report on hospitality plans at board meetings for forthcoming PTA events; Coordination with the president and campus administration is required.

Volunteer Chair: Responsible for recruiting, contacting, and coordinating volunteers for PTA events and programs; Work with executive board to identify volunteer needs for events, programs, and campus; Work with campus liaison to ensure all volunteers are verified and approved with SISD; Create and maintain a list of willing volunteers and share with appropriate chair/coordinator; Help volunteers become familiar with campus policies, people, programs, and the building itself; Assist committee chairs/coordinators with distributing sign-up geniuses; Submit Volunteer of the Month (every month); Recognize and thank volunteers regularly.

Family and Community Events Chair: Oversee all Family and Community Events; Plan and organize family and community engagement outreach and programs (family nights, spirit nights, KISS, food drives, etc.) throughout the school year; Work with chairs/coordinators to make sure family and community activities are organized and progressing; Report on plans for forthcoming PTA events at board meetings; coordination with VP1, President, and Campus Administration is required.

Communications Chair: Responsible for communications of the association; Maintain PTA calendar with up-to-date campus and PTA news and events; Maintain, respond, and update social media sites and website; Create and publish communication material (flyers, newsletters, etc.) on a regular basis to promote PTA news and events; Work with executive board and campus administration to identify communication needs.

Spirit Wear Shop Coordinator: Coordinate the sale of spirit wear items; Select vendors, create new designs, manage inventory, and keep in-stock items organized in the PTA storage closets and spirit wear shop; Keep records of all orders and receipts; Stay within spirit wear budget; Decorate and keep spirit wear shop up to date with the most recent spirit wear items; Manage sub-committee to have trained volunteers to sell spirit wear at major campus events and spirit wear shop; Take new pictures as necessary and discount merchandise as necessary; Entails working closely with the Treasurer and VP1 and general knowledge of Treasurer's requirements for deposits, counting cash, sales-tax, etc.

Holiday Shop Coordinator: Oversee the planning and execution of annual Holiday Shop; Establish relationship and coordinate with Holiday Shop vendor; Work closely with VP1 and Treasurer for budget from Holiday Shop expense and income lines as allocated; General knowledge of Treasurer's requirements for counting cash, deposits, etc. is mandatory.

Grade-level Coordinator (K, 1st, 2nd, 3rd, or 4th): Serve as a primary contact for each grade-level classroom needs; Responsible for gathering parent/guardian contact information within each grade-level classroom; Coordinate donations and volunteers for each grade-level classroom for supplies, workroom (copies/laminates, etc.), classroom help, parties, teacher birthday celebrations, and teacher appreciation week; Compile the staff favorites list at the beginning of the school year for distribution to parents and guardians; Act as a liaison between grade-level teachers and classroom volunteers; Work with volunteer chair to ensure all volunteers are SISD verified.

Watch D.O.G.S. Coordinator: Solicit dad’s and father figures to participate in Watch D.O.G.S program by hosting a kickoff; Coordinate Watch D.O.G.S schedule with campus administration for available Watchdog volunteer dates; Work with Campus Liaison to provide Watch D.O.G.S volunteer paperwork for SISD background check verification process; Schedule Watchdog volunteers on designated days in advance, communicate processes, and follow up as necessary after volunteering.

Reflections Coordinator: Coordinate the Reflections program, including advertisement for the competition, coordinate judging of student entries for GCES; Submit qualifying entries to Texas PTA State Office.

Grants Coordinator: Responsible for coordinating and overseeing the grant application and management process including: identification of potential new funding sources, development of funding resources for existing and proposed programs and/or services, writing grants, collaborating on grant applications with various community organizations, and processing, monitoring and coordinating required report evaluations on existing grants; Provide communications and information to teachers on available grants through PTA and other outside sources.
