2020 8th Grade DC Trip Valentine's Event Fundraiser STUDENT Vendor Registration Form

Basics
Date: Sunday, Feb 2.
Location: Winneshiek County Fairgrounds Danan Lansing Building
Time: 9:00 AM - 2:00 PM
Early Set Up: Saturday, February 1, 6:30-8:30 PM
Day off Set Up: Sunday, February 2, 7:00-8:50 AM *All vendors must be set up and ready to go by 8:50AM

Purpose
We are excited to launch a Valentine's themed vendor event to help Decorah 8th graders raise funds for their annual trip to Washington DC! If you are selling items to help raise funds for your/your student's trip, this is your chance to sell them to a wide audience at a vendor event!

Guidelines
Students and parents/other adults are invited to sell unique items. Spaces will be first come, first served, and we will not duplicate items (i.e. if one student is selling Decorah Viking yard signs, we will not accept a second person selling yard signs). We will use our best judgement to determine if items are too similar. A student or parent/designated adult is required to ensure the items are set up at the assigned table by 8:50 AM on event day. A student or responsible adult must be on site at all times during the vendor event; however students/adults may work with other students and adults at the same table to take breaks/enjoy the vendor event, etc. if everyone at the table is in agreement. Students will be responsible for selling their items - checks should be made out to either the student or a responsible adult. There will be a cash exchange area on site if students need to make change, but they should plan on bringing a money bag or item to hold cash, and are responsible for its safekeeping. Students are expected to represent their product and the event professionally, and are responsible for keeping track of their own money raised onsite.  Students are expected to stay until the conclusion of the event and not pack up early.

Promotion
If we all work together, the event will attract more people, and therefore more sales for all students. Here are some things we're doing to spread the word and attract attendees:
*$100 cash prize for one lucky attendee
*Gift Bags for the first 100 attendees
*Placement in community calendars
*Press release to area news outlets
* Targeted Facebook advertisements
*Paid advertisements in local newspapers
*Flyers placed throughout the community
*Promotional materials provided to vendors: social media graphics and flyers
*Lunch will be served and promoted
We are asking that participating 8th graders and their families help spread the word.

Fee schedule - 8th Grade Vendors (If you are traditional vendor, please email brecka.putnam@gmail.com about traditional vendor space)

There is NO CHARGE for 8th grade vendors, but each vendor will be required to submit 2 dozen baked goods for the food sale OR an assigned food item valued at $10. Eighth graders and families are also expected to help promote the event.

We are here to help you! This event is being planned by a team of successful vendors, so please don't hesitate to ask any questions  you may have.

You are not officially considered a vendor until you have returned payment and completed this form.

By completing the form, you acknowledge that both the 8th grader and their legal guardian have read and understood the application and agree to abide by the rules. You both understand that the organizers and volunteers, the Winneshiek County Fair, and Winneshiek County are not responsible for any loss, damage to property, or personal injury of any kind, and you hereby release those entities from any liability connected to your/your child's participation in the February 2, 2020 event as well as any other activities related to this event.

NOTE: Parents are NOT required to stay on site. It is up to you and your student if s/he is able to stay at his/her booth, but please be available to your student via cell phone if you plan on leaving.
